Job Description

Office Support
  • Calendar management and scheduler for Director
  • Schedule student trainings, as needed
  • Schedule team meetings with departments
  • Answer phone, route calls and messages, respond to inquiries, and handle issues as they arise.
  • Assist Director with special projects including projects with short deadlines
  • Maintain filing system in accordance with University policies on record retention.
  • Maintain Design Team rosters
  • Resolve door access issues related to team management and trainings through “Access It”
  • Maintain Student Design team information, competition rankings, and trainings in “Member Management” program.
  • Provide tours for potential students, parents, alumni, donors, etc.
  • Provide support to the Office Manager, as required.
HR Functions
  • Provide support in the submission, processing, and completion in the hiring process of assigned positions. Create job postings, route for proper approvals; assist in providing support to hiring committees; prepare job offers, and schedule appointments with Human Resources for onboarding completion.
  • Initiate ePAFs for employment actions including but not limited to hires, transfers, terminations and pay, FTE, reporting, FICA, tax locations, and other changes. Ensure proper approvals and attachments are obtained to support actions.
  • Prepare and submit courtesy and volunteer appointments for Student Design Center.
Fiscal Functions
  • Manage student One Cards
    • Train and mentor students on proper credit card use per University policies and procedures.
    • Order student and staff credit cards per Student Design and University guidelines.
    • Manage credit card check out program, ensuring the proper training and approvals are in place
    • Process student expense reports.
  • Show me shop
    • Grant access to Student Design team members to access Show-Me Shop for design team build supplies.
    • Train and assist students with ordering supplies and equipment for design team builds.
    • Process student ordering and assign appropriate accounting.
  • Provide access and train Student Design teams to use Webapps for their team financials.
  • SAFB
    • Train students on SAFB categories
    • Work with SAFB to train students on expenses and expense reconciliation.
    • Process and track SAFB reporting and prepare annual report for SAFB reimbursement.
  • Purchase office supplies for Design Center office.
Student Mentoring
  • Mentor and guide students to achieve their goals through experiential learning.
Minimum Qualifications

An Associate’s degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.
