GENERAL DESCRIPTION OF POSITION
The position of Coordinator for Special Events/Community Relations is a campus and community liaison. Position will report directly to the Associate Vice Chancellor for Institutional Advancement. Position leads outreach and community engagement efforts for each of the ASU-Beebe campuses in Beebe, Heber Springs, Searcy, and the Little Rock Air Force Base in coordination with the Campus Operations Managers. Position is responsible for the planning, execution, measurement, and continuous improvement of College special events and ensuring the College’s presence in the communities we serve. Special attention to detail, and ability to coordinate volunteers and vendors is required. Must be able to anticipate project needs, discern work priorities, consistently meet deadlines, and be available to work some evenings and weekends. Excellent customer service skills are required. Background in event planning is preferred.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Leads outreach and community engagement efforts for each of the ASU-Beebe campuses – Beebe, Heber Springs, Searcy, and Little Rock Air Force Base – in coordination with the Campus Operations Managers.
     
  2. Provides excellent customer service skills in working with community constituents who meet on or visit our campuses.
     
  3. Coordinates closely with Facilities and Events Specialist in scheduling and monitoring the all campuses master calendar.
     
  4. Schedules, plans, and coordinates all relevant activities for special College events working with internal and external constituents including speakers, vendors, exhibitors, and participants. Secures event spaces and creates and revises room layouts for each event working with the facilities team. Coordinates with campus dining services for selection of event menus. Arranges for staff to work the event, including volunteers, ushers, security, etc. Assists with managing on-site production, cleanup, and follow-ups as necessary.
     
  5. Defines event goals and measurable outcomes, including timelines. Monitors event timelines and ensures deadlines are met. Drafts detailed agendas or event schedules. Assists in developing event budgets and ensures adherence. Works with Finance and Procurement and, once approved, assures budgetary compliance.
     
  6. Plans, develops, implements, and organizes events and volunteers in the communities we serve to advance the mission and goals of the college.
     
  7. Proposes new ideas to improve the event planning and implementation process.
     
  8. Seeks and solicits sponsorships for community campus events.
     
  9. Attends monthly area Chambers of Commerce meetings and community events as assigned. Monitors Chambers of Commerce social media pages, websites, and email notifications for upcoming events in which the College can participate such as business expos.
     
  10. Monitors community relations budget.

Required Education/Experience:

  • A minimum of two years of college is required. Bachelor’s degree preferred.
  • At least two years of face-to-face customer service, public relations, or related activity with the public is required.
  • Experience working with and connecting to a large and diverse community of people.
  • The ability to work evening events and some weekends is required.
  • Light travel is required.
