Summary: Reporting to the College Registrar, the Records Specialist provides vital services to the College community as a professional member of the Office of the Registrar staff. The position cooperates with and supports the Registrar, Associate Registrar, Assistant Registrar, and Certification Specialist in fulfillment of the work of the office.

 

Duties and Responsibilities:

 

  • Maintain data quality for database systems and student records Perform data entry within the Jenzabar student information system Manage transcript order fulfillment Perform entry of transfer and exam credit into the SIS Enter schedules for first-time students and schedule changes for students as needed Process student/faculty form submissions Handle student walk-in traffic Answer phone calls, mail, and email daily Assist in the maintenance of academic degree plans in database Assist with commencement planning, preparation, and execution Manage the clearances for and ordering of diplomas through third-party vendor Evaluate new applicant transcripts Support academic advising efforts that enable and empower students toward degree completion Train and manage student workers Maintain student academic records and documents Run various reports Assist in other office tasks as assigned by the Registrar


Qualifications:

 

A qualified candidate will have a personal commitment to Jesus Christ and affirm and support the vision, mission, statement of faith, and community life covenant of Montreat College.

 

The ideal candidate will have experience working in a records office or other office environment where data integrity, technology applications, and customer service are top priorities.  Qualifications and expectations include, but are not limited to:

 

 

 

  • A willingness to be a cooperative team member in a fast-paced, task-oriented environment. Maintain an organized flow of data and communication between this office, other administrative offices at all campuses, and students. Multi-tasking, critical thinking, and problem-solving skills with great attention to detail and accuracy. Excellent customer service and communication skills. Proficient in use of Microsoft Office applications. Knowledge of computerized student databases and student information systems preferred.

 

 

Education/Experience:

 

Bachelor’s degree including knowledge in or experience with database or information systems.
