Project Manager for External Relations - Hourly

Office of University Advancement and External Relations

JOB SUMMARY:

This is an hourly position that works 20 hours a week. The hourly rate for this position is $20/hour. Reporting to the Associate Vice President of University Advancement and External Relations, the Project Manager for External Relations will support the work of External Relations, including Alumni Relations, the Adelphi Fund, Special Events, and Signature Events. This work will include, but is not limited to, project management, administrative, and clerical support. As needed, the Project Manager will also support the work of other members of the External Relations staff.

REPORTS TO: Associate Vice President of University Advancement and External Relations

RESPONSIBILITIES & DUTIES:
  1. Provide support for major programs and activities such as the President's Gala, Distinguished Lecture Series, Golf Classic, Prize for Leadership, the Momentum Tour, Women's Leadership Conference, Spirit Weekend, Giving Day, and campus faculty and staff events. Specific duties include:
  • Event preparation and packing.
  • Printing collateral: place cards, name badges, check in, etc.
  • Editing and proofreading content of correspondence, event materials, programs, brochures, flyers.
  • Assisting in the research and selection of venues and vendors for the needs of off-campus events including the President's Momentum Tour.
  • Assisting in the research and selection and production of promotional materials/brand giveaways for signature events.

  • 2. Assist in managing the budget for the Division as well as participate in the budget planning process.

    3. Provide support in processing contracts, invoices and communications with accounts payable and purchasing department handling timely payment of vendor bills.

    4. Serve as liaison between department and university services such as facilities, IT, mailroom, business affairs and accounts payable.

    5. Assist in entering data and event information into Raiser's Edge.

    6. Perform other job-related duties as assigned.

    REQUIREMENTS: (Knowledge, Skills and Abilities)
    1. Excellent computer skills, including extensive experience and advanced knowledge of Word and Excel, Adelphi administrative systems and email.
    2. Experience with file management, Google apps (Calendar, Drive, Sheets, Docs) and Raiser's Edge preferred.
    3. Capacity for problem solving, taking ownership and initiative and working quickly.
    4. Ability to effectively and accurately manage and prioritize multiple tasks in a fast-paced environment.
    5. Excellent organizational skills and attention to detail. Ability to maintain confidentiality on a wide range of matters.
    6. Excellent verbal and written communication skills, coupled with proofreading and editorial skills.
    7. Knowledge of Adelphi University and office procedures and purchasing processes a plus.
    8. Willingness to meet and build relationships with internal and external individuals and groups on behalf of the staff and the department.
    9. A positive, curious, high-energy person who wants to learn, enjoys the group process, and is able to effectively respond to the stress of responding to immediate and sometimes unexpected deadlines desirable.

    EDUCATIONAL/EXPERIENCE REQUIREMENTS:
    1. Associate's degree is required.
    2. Bachelor's degree is preferred.
    3. Minimum of three years of office management and clerical support experience is required.
