Office Assistant, Student Media



Job Summary

Reporting to the Director of Student Media, the Office Assistant helps ensure KTRU-LP FM, the Thresher newspaper and Campanile yearbook run smoothly by providing administrative and operational support to the Student Media department. Rice’s media outlets are managed by its students, and the Office Assistant is often the first point of contact for undergraduates and the larger community. The ideal candidate for this position is highly organized while also capable of handling interruptions by students and others seeking assistance.

Part-time/20 hours a week - $15.50 to $17 an hour

Essential Functions

- Greets visitors and routes them to appropriate individuals, answers phones, and serves as a resource on procedures and general inquiries

- Distributes routine communications such as memos, notices, emails, and letters

- Enters data into basic tables, reports, and spreadsheets, makes copies, and monitors and orders office supplies

- Tracks facility and office equipment, such as keys, Pcards and projectors, via logs, and schedules repairs as needed

- Reviews invoices for accuracy, initiates purchase requisitions and remits payments

- Arranges meetings and assists with routine conferences including scheduling rooms, managing equipment, ordering meals and assembling materials

- Makes travel arrangements

- Creates and maintains files and filing systems

- Sets up office spaces and / or supports coordination of basic office moves

- May provide guidance to temporary and student employees on routine matters

- Performs other duties as assigned

Additional Functions

- Maintains some KTRU-LP FM logs, schedules and communications

- Maintains student media website

- Coordinates 24-hour building access for KTRU DJs with building manager

Required Education HS Diploma or equivalent

Required Experience 1 year of administrative experience

Skills Required

- Basic computer skills and demonstrated experience with office software and email applications

- Ability to follow through and complete assigned tasks

- Good organizational skills and attention to detail

- Good verbal and written communication skills

- Good customer service and interpersonal skills

Preferred Qualifications/Skills

- Experience in radio, online or print media

- Experience in student activities

- Rice experience
