Primary Purpose and General Responsibilities:

VCU’s School of Education (SOE) seeks an Executive Assistant to the Dean with strong organizational and administrative skills, strong interpersonal and communication skills, and a strong practice of inclusive excellence who embraces diversity, equity and inclusion and will contribute to a climate that supports students, faculty, and staff of all identities and backgrounds. The Executive Assistant to the Dean of the School of Education will provide executive support to the Dean and ensure efficient oversight and operations of the Dean’s Office. This position will also act as liaison between the Dean and other internal and external officials and organizations.

Primary Duties and Responsibilities

- Scheduling and supporting meetings, sending reminders, and preparing materials
- Maintaining the dean’s calendar
- Supporting the Dean with internal and external committee and board responsibilities
- Coordinating travel pre-authorizations and reimbursements, purchase office supplies, and making payments as requested
- Taking minutes for meetings
- Reviewing and proofing documents for the Dean
- Overseeing major events for the Dean’s Office such as graduation ceremonies, receptions, convocations and other events as requested
- Managing the School of Education’s Google Groups, Events Calendar, and parking QR passes
- Managing the School of Education promotion and tenure process
- Providing oversight and supervision of the Administrative Assistant and indirectly supervise any/all wage workers within the Dean’s Office
- Other duties as needed to support office operations

Required Qualifications:

- Considerable experience in administrative support duties is essential
- General knowledge of educational organizations in Virginia with specific knowledge of the operations of a large complex university or agency
- Demonstrated experience in fostering and advancing a diverse, inclusive and equitable environment and commitment to doing so as a staff member and leader in in the School of Education and at VCU
- Ability to communicate, implement and manage School of Education policies
- Ability to plan and implement a variety of on-campus and off-campus events
- Strong interpersonal, communication, organizational, and writing skills
- Ability to relate to senior leadership and communicate effectively with all levels of the organization
- Experience with Google Drive and other Google apps, Microsoft Office suite, and calendar management tools required
- Must be able to work independently
- Must be detail-oriented
- Must be able to maintain confidentiality
- Experience in an environment that demonstrates possession of the applicable knowledge, skills and abilities listed above
- Demonstrated ability to work in a diverse environment is required.
- Ability to effectively manage the Dean’s day-to-day schedule, ensuring balance between priority meetings, work time, and other commitments

Preferred Qualifications:

- Bachelor’s Degree or higher.
- Previous university/academic experience
- Previous senior administrative or executive assistant experience
- Knowledge of state and/or university policy
- Experience working with a senior leader in complex organizations
