Position Summary
VCU Office of the Provost is excited to invite interested applicants to apply for the Lead Financial Specialist position on the Academic Operations team. This position will provide Fiscal and Budgetary support and will serve as the primary point of contact to all units within the Provost Office including Faculty Affairs, Academic Affairs, and Institutional Research and Decision Support. The Academic Operations team believes in training and career growth and welcomes applicants who are interested in building upon a career in the financial services area.
Duties and responsibilities include but are not limited to:
Provide fiscal support managing purchase requests and processing invoices for timely payment. Respond to and resolve any issues around invoices, receiving, and other Accounts Payable related matters in a timely manner. Serve as a purchasing cardholder. Ensure proper handling of any checks for deposit. Perform timely reconciliation of expenses procured through purchasing card and RealSource, maintaining the appropriate supporting documentation for transactions.
Support Finance leadership in budget management and reporting for the units of the Provost office. Also provide support in multiple fund source analysis in review of Provost areas.
- As a financial transaction expert, collaborate with the Finance
team to serve as a resource and support to others in the office
with fiscal responsibility. Provide training and technical or
policy updates to others as needed.
- Assist in the review of the office’s internal controls for
Agency Risk Management and Internal Control Standards (ARMICS)
compliance.
- Support the University Higher Education Equipment Trust Fund (HEETF) Committees in their review of requests across all schools/units at VCU. Assist in reporting requirements to the State
- Council of Higher Education for Virginia (SCHEV).
- Support the monthly Fiscal Administrator meetings by
coordinating agenda items, maintaining the Fiscal Administrator
Wiki portal, and communicating related fiscal updates and topics to
the group.
- Working under general supervision, resolving most standard
issues independently and referring more complex issues to the
appropriate resources
- Participation in special projects and/or university
committees
- Execute other duties as assigned
- Bachelor’s degree or an equivalent combination of education,
experience, and training
- Knowledge of federal, state, and Finance policies and
regulations
- Analytical skills to evaluate and interpret financial data and
draw sound conclusions
- Demonstrated ability to prioritize and manage a variety of
projects and to work independently and as part of a team. Also
desires growth and development to learn within the role.
- Outstanding customer service and a high degree of
professionalism
- Ability to accurately follow instructions and serve as a resource to others regarding policies and procedures.
- Strong attention to detail, flexibility, and the ability to set
and meet deadlines
- Effective/excellent communication, verbally and in writing,
with employees of all levels within the organization
- Demonstrated experience working in and fostering a diverse
faculty, staff, and student environment, or a commitment to do so
as a staff member at VCU.
- Ability to handle confidential and sensitive information
appropriately and with discretion
- High proficiency using Microsoft Office suite and database
software.
- Higher Education experience
- Working knowledge and experience with VCU’s financial systems:
Banner Finance, RealSource, as well as monthly reconciliation
processes and expectations. Also working knowledge of the
associated reporting in the Reporting Center and Finance
Dashboard.
- Experience with the purchasing card system, as well as
reconciling expenses and purchasing card statements
