VCU Division of University Relations is seeking to hire an Administrative Coordinator.

The Administrative Coordinator position is part of the Administration team within University Relations and reports to the director for strategic initiatives. The person in this role will be responsible for providing exceptional customer service and administrative support to the division.

As the initial point of contact for visitors to the office, the Administrative Coordinator will be responsible for managing the calendars of the Vice President of University Relations, as well as the division’s two Associate Vice Presidents. The administrative coordinator will also carry out centralized administrative processes within the division and coordinate multiple other operational and maintenance tasks on a daily basis in a fast-paced environment using a variety of technical, analytical, and organizational skills. This person will assist with some fiscal responsibilities, as well.

Essential duties and responsibilities:

· Serves as the primary coordinator for the day-to-day administrative activities of University Relations

· Supports senior leadership with calendar management, meeting logistics, travel requests and reimbursements

· Utilizes the state purchase card to make office supply purchases while adhering to university policies and procedures, and conducts monthly reconciliation

· Receives deliveries and distributes orders to the appropriate staff members

· Works closely with resource director and other staff members to ensure building, phone and essential customer service coverage

· Accurately and courteously receive, screen, and respond to all division email and in-person inquiries regarding the division and its staff in a professional manner

· Promptly walk-in visitors to appropriate sources to respond to their needs

· Convey information consistently with professional discretion, using university publications and office manuals so that all requests are filled or appropriately referred

Minimum Hiring Standards:

· Demonstrates a track record in fostering a diverse and inclusive environment through communications/marketing work, operations and interpersonal relationships

· High school diploma or equivalent

· 3-5 years of related experience in office support and office management with increasing levels of responsibility

· Experience working with senior-level executives

· Ability to work effectively with a variety of people in person, on the phone and electronically

· Ability to work independently and in a team environment

· Ability to prioritize assignments and perform multiple tasks as necessary

· Excellent computer skills, including MS Word, Excel and PowerPoint; and Google Suite (Drive, Docs, Sheets, calendar, etc.)

· Excellent organizational skills

· Previous senior administrative experience preferred
