Primary Function: The University Registrar serves as a member of the Student Success leadership team responsible for the oversight of the University of the South’s Registrar’s Office, reporting to the Vice Provost for Student Success. The Registrar is responsible for planning, managing, supervising, reporting, and advising on all activities related to academic records, conferral of degrees, course registration, classroom scheduling, student information systems, and related areas. This position works with considerable independence and self-direction. Only general direction and scope of the work to be accomplished are discussed with the supervisor.

 

Opportunities for Leadership: This position will directly supervise, the Associate University Registrar for Information Systems, Associate University Registrar for Student Academic Services, Assistant University Registrar for Faculty Academic Services, Communication, Content, and Publication Specialist, and Academic Services Manager.

Typical Duties & Responsibilities:

  • Coordinates supervise and provide executive leadership for all functions and services of the University’s Registrar’s Office including the student information system, registration, grading, degree and enrollment verification, academic records management, transcripts, compliance, application processing, and articulation, graduation auditing, and awarding of degrees.

  • Oversees the management of policies, processes, and operations of the Registrar’s Office and provides leadership, innovation, vision, and accountability for the management of all records, registration policies, and services that support student success.

  • Provides oversight for integrity and accuracy of student academic record-keeping and transcript production and integrity in compliance with the University’s academic policies and standards.

  • Oversees the conformity of educational record use, dissemination, and privacy of student information to University policies and legal requirements, including the Family Rights and Privacy Act (FERPA) and other applicable laws and regulations as well as those of other regulatory agencies.

  • Oversees the implementation and effective use of systems for student information, degree audit, and other systems.

  • Provides leadership as the key liaison to IT for issues about all services provided by the Registrar’s Office including the development and maintenance of computerized records and registration systems.

  • Provides strategic input and develops recommendations for the implementation of related technology applications in support of enhanced services for students, faculty, and staff.

  • Monitors and verifies student enrollment data essential for official internal and external reporting related to academic and student records including the National Student Clearinghouse, auditors, and accreditors, as needed.

  • Supervises the evaluation and recording of transfer credit in the College of Arts and Sciences, including credit for Advanced Placement and International Baccalaureate examinations, credit from study abroad programs, and pre-and post-matriculation credit from domestic institutions, ensuring that credit is transferred in accordance with college policies, external regulations, and best professional practices.

  • Coordinate efforts with other offices to improve services for students, prospective students, and faculty through the Office of the Registrar. 

  • Provide leadership within the Office of the Registrar to achieve university enrollment goals and to improve the student experience through process improvement, data-driven analysis and decisions, and removal of artificial barriers to success.

  • Supervises the maintenance of the degree audit system and provides oversight for the monitoring of student's progress toward degree completion.

  • Promotes and maintains effective relationships with faculty, staff, and academic partners across campus and other institutions, collaborating on issues relating to curriculum, university policies, and other areas of Registrar responsibilities.

  • Oversees training, development, and maintenance of procedure manuals, regulations, and systems within the Registrar's office for the university community.

  • Supervises, trains, manages, evaluates, and develops staff within the office.

  • Serves as a member of the College Faculty’s Curriculum and Academic Policy Committee, the College Faculty’s Standards Committee, and other ad hoc committees as requested.

 

Judgment Required: The performance of the essential duties of this position is dependent upon independent ingenuity and developmental efforts.

 

Machines & Equipment Used: Networked computers, printers, scanners, and related peripherals.

 

Budgetary Responsibility: Directly prepares the budget for the program and has full responsibility for planning, forecasting, approval, and balancing the budget.

  • Student Contact: Occurs daily; often conveying difficult information, interpreting and explaining institutional policy, or encouraging compliance with institutional regulations.

  • Internal: Occurs daily; often serving as a resource in interpreting and explaining institutional policies and procedures.

  • External: Occurs frequently; explaining institutional policies and procedures, providing data and information; frequent interaction with professionals from other institutions.

 

Education: 

  • Master’s degree in higher education;

  • Information systems;

  • Educational research or another relevant field is required; 

  • An equivalent combination of education and experience may substitute.
     

Experience: 

  • Five to seven years of experience in a comprehensive college or university registrar’s office is required, including a minimum of eight years’ managerial experience.

  • Preferred experiences include administering academic policies and procedures, and using and managing complex student information systems.

  • Participating in registrar’s professional associations.

  • Experience interpreting and applying collegiate policies related to the Family Educational Rights and Privacy Act of 1974 as amended (FERPA).
