  • This is a full time, 35-hour week position, which provides administrative support to the Chairperson and faculty of Social Work, and Gerontology. The general purpose of this position is to manage internal and external assessment, accreditation, compliance, and related reporting at the state, national, school and University level. The position will lead the Department’s efforts to collect, analyze, and learn from program, and course data in order to fulfil internal and external reporting requirements. The individual holding this position must be able to work independently, with a high degree of accuracy, and collaborate effectively as part of the Social Work Department. Reports to the Chairperson of the Social Work Department.

    RESPONSIBILITIES:
  • Serve as main telephone and office contact.
  • Coordinate arrangements for meetings, conferences, and travel.
  • Update and maintain various departmental manuals and syllabi.
  • Record minutes for Department Meetings, Advisory Board Meeting and Majors Meetings.
  • Oversee Program Acceptance Process for department majors to ensure completion for each student.
  • Maintain inventory of supplies, oversee maintenance of all office equipment, and maintain record of budget expenditures for the department.
  • Support Coordinator of Field in maintaining student practicum paperwork.
  • Create routine correspondence and handle confidential student file correspondence.
  • Research and assist in completing quality assurance, accreditation, and clinical compliance reporting.
  • Data Collection and Monitoring: develop and maintain spreadsheets (e.g. job placements, enrollment, faculty load, etc.) for reporting.
  • Utilize Qualtrics, AEFIS, excel and a variety of databases for data collection and outcomes reporting .Attend all required trainings.
  • Gather, summarize, and report program assessment results for annual internal and external accreditation requirements.
  • Assist in developing material and statistics for Council on Social Work Education.
  • Coordinate the accreditation process of the Social Work program.
  • Registration and Advising. Coordinate with faculty, students, and registrar to resolve issues arising from registration. Serve as the point person for all registration problems and proactively seek to resolve issues which eases the process for the students.
  • Coordinate and serve as departmental liaison with GCU admissions personnel. Organize and represent the Social Work Department at events both on and off campus. Maintain and track reports of student applications. Organize orientation of new BSW and MSW students.
  • Update and maintain a current database of Social Work Department students and graduates.
  • Update and maintain confidential student files to include courses taken.
  • Provide information to students to ensure they are aware of on-going department activities and handle follow-up letters to any interested students.
  • Oversee distribution and return of various surveys to current students, graduates and community agencies.
  • Assist Social Work Club and Honor Society when necessary.
  • Coordinate departmental events such as monthly advocacy initiatives and the annual Professional Networking Event and Pinning Ceremony.
  • Integrate the core values of respect, compassion, integrity, justice, and service in all aspects of interaction.
  • Perform other related duties as assigned.
REQUIREMENTS:
  • Associates degree required; BA preferred
  • Demonstrated office and administrative skills, such as phones, correspondence, mailings, scheduling, filing, use of office machines, etc.
  • Excellent interpersonal and communication skills, both verbal and written.
  • Ability to effectively communicate (verbally and written) with outside agencies and other GCU departments.
  • Excellent computer skills, including MS Word and Excel, and e-mail; aptitude for learning new software.
  • Computer experience with presentation and/or graphic software (ex. PowerPoint, Publisher) is a plus.
  • Demonstrated experience in survey design and analysis.
  • Demonstrated experience in data management.
  • Excellent communication, time management, and project management skills.
  • Detail-oriented and organized with ability to handle multiple tasks simultaneously in a fast-paced environment with accuracy.
  • Ability to work independently.
  • Ability to maintain confidentiality.
