Department Summary
Finance and Administration is a vibrant and varied portfolio serving all aspects of campus life. Our employees perform a wide range of functions including offering essential financial tools and support to the university's many departments, providing key resources to employees, and keeping campus safe, clean, accessible and beautiful. Finance and Administration is led by the Vice President for Finance and Administration and Chief Financial Officer (VPFA/CFO) and is comprised of more than 30 departments that provide service to campus in six areas: business and finance, human resources, campus planning and facilities management, safety and risk services, campus services and information services.
Position Summary
The Executive Assistant provides confidential and thorough administrative support to the Vice President for Finance and Administration/Chief Financial Officer (VPFA/CFO) and one or more additional executives within the office of the VPFA. This position is responsible for effectively managing and scheduling time for supported executives to ensure the maintenance of an extensive standing meeting schedule as well as the flexibility to pursue an active agenda of priorities and the ability to react quickly to emerging issues. This position also facilitates communication both up and down the UO's and division's chain of command. This position reports to the Associate Vice President for Campus Services/Chief of Staff to the VPFA, and also works collaboratively with the project manager and a fellow executive assistant. The Office of the VPFA places a strong emphasis on inclusion, diversity, and cultural competency, and features an active and engaged portfolio-wide Diversity Committee.

The successful candidate will exhibit professionalism, excellent judgment, and the ability to create a welcoming, inclusive, accessible, and professional atmosphere in the office.

To be considered qualifying as "senior level," experience must include one or more of the following:
o Office management experience which includes supervising/leading other office workers; and/or
o Providing administrative support to an executive which includes exercising delegated authority to handle high-level administrative responsibilities on behalf of an executive; and/or
o Directing projects, programs, or a department to include accountability for achieving objectives; and/or
o Experience performing the key responsibilities as defined for this position and which include decision-making authority and use of judgment in handling confidential matters.
Minimum Requirements
  • Five years' experience providing administrative support, including a minimum of three years in an executive office supporting senior administration within a large, complex organization.
Professional Competencies
  • Ability to manage stressful situations with tact and diplomacy and to use sound judgement and discretion, particularly as it relates to handling sensitive and/or confidential information.
  • Demonstrated ability to meet deadlines, anticipate needs, prioritize multiple tasks, while handling frequent interruptions and rapidly shifting priorities.
  • Proven proficiency with Word, Excel, PowerPoint, and Outlook (or similar scheduling/calendar program).
  • Ability to communicate and work effectively with individuals from diverse backgrounds and cultures.
  • Excellent writing, and verbal communication skills; attention to detail.
  • Excellent organizational, problem-solving, and time management skills.
  • Ability to perform all responsibilities with high ethical standards.
Preferred Qualifications
  • Bachelor's degree from an accredited institution.
  • Experience in executive support in higher education.
