Job Summary

The College of Veterinary Medicine at Auburn University — one of the nation’s oldest and most well recognized veterinary teaching and research programs — is seeking to fill the Lead Administrative Assistant position at its Bailey Small Animal Teaching Hospital. The Small Animal Hospital, one of the largest and most technologically advanced teaching and referral hospitals in the country, includes a nationally and internationally recognized faculty along with 13 clinical services, providing state-of-the-art care for more than 13,000 companion animal patients per year.

The Lead Administrative Assistant will perform a variety of high-level and complex administrative support duties for the Veterinary Teaching Hospital . Reporting to the Client Services Manager, this position will have operational oversight of administrative support functions, which includes maintaining workflows and addressing service issues.

Essential Functions
  • Front-desk operations, including opening records, making appointments, taking payments, and basic cashier duties.
  • Maintaining the client scheduling system.
  • Communicating with hospital technicians, clinicians, and clients.
  • Managing a multi-line phone switchboard, delivering phone messages as appropriate.
  • Ensuring records accuracy, and maintaining records retention process.
  • Communicating hospital services as well as the policies and procedures of the Auburn University Veterinary Teaching Hospitals.
  • Training staff on administrative operations.
  • Collecting and analyzing data.
  • Other duties as assigned.
