Academic Operations Manager

About the Opportunity

JOB SUMMARY

The College of Professional Studies seeks an Academic Operations Manager who will be responsible for managing day-to-day operations that supports student registration into non-degree cohort and corporate learning agreements, including non-credit and professional learner experiences that lead to degree program matriculation. The Academic Operations Manager will work closely with the Director of Operations, program managers and academic leads, as well as College service units (Academic and Quality Assessment) and student advisors (Office of Academic Advising), as it relates to non-credit/corporate student populations.

The Academic Operations Manager will also assist the Director of Operations and academic operations staff in planning class schedule offerings for future terms based upon anticipated new and continuing student enrollment needs of degree programs. This position works closely with other departments across the University, such as the Registrar, Academic Technologies, Enrollment Management and external college affiliates.

KEY RESPONSIBILITIES & ACCOUNTABILITIES

1) Academic Operations - Class Scheduling: 35%
  • Assist in the development of the class schedule for degree and certificate programs, focusing on accuracy of course offerings by academic term aligned with student needs.
  • Under the direction of the Director of Operations, assist in mapping teach-out plans for deactivated academic programs in accordance with CPS policies and procedures.
  • Work collaboratively with program staff and academic advisors to review term-based class schedules to meet the need of new and continuing student section offerings in alignment with the calendar for registration.


2) Non-Credit and Professional Academic Program Operations: 50%

In collaboration with program academic leadership, manage the creation of badges and non-credit workshops on an ongoing basis.
  • Maintains a resource library of existing non-degree learning agreement and non-credit/badge enrollments data to assist the Director of Operations in monitoring health and maturity of non-degree offerings
  • Track and ensure timely processing of faculty contracting for non-credit courses and part-time faculty non-teaching academic support roles
  • Serve as a primary point of contact for the Registrar's Office and Academic Technologies units on day-to-day CPS badging and non-credit operations and offerings
  • Serve as a functional user of non-credit registration tools (i.e. Skillstack) to create and set up non-credit virtual instruction shells for badges


3) Customer Support: 15%
  • Provide assistance to faculty and students in responding to registration and virtual learning environment inquires
  • Communicate registration processes and timelines to corporate partners and students
  • Send workshop and badge completers surveys to collect feedback for review by the college's academic and evaluation staff
  • Refer students to academic advising for matriculation to degree programs, as needed
  • Work with the Director of Operations to create and distribute certificates of completion to students in non-credit programs, as needed

MINIMUM QUALIFICATIONS

Minimum of two years administrative experience in program management or customer support, in client-facing or education setting. Strong communication skills are required, and a successful candidate will demonstrate excellent interpersonal skills and ability to interact with diverse constituencies. Effective administrative, and organizational skills and evidence of decision-making skills are required. Candidates must demonstrate an understanding of the unique needs of professional and adult learners and show strong commitment to continuing education. Flexibility to work evenings and weekends as needed is required. Proficiency with Word, Excel, PowerPoint, and video-conferencing tools is desired.
