Position Summary

The Specialist, Delaware Campus Administration primarily supports the academic operation of the Delaware Campus. This support includes working closely with the Supervisor of Academic Planning and Scheduling to input and update the academic schedule for the Delaware Campus and Regional Learning Centers into the College’s CRM.

This support also includes office support for faculty and staff at the Delaware Campus. This position strives to provide an environment that enables faculty to locate resources necessary for teaching and learning.

ESSENTIAL JOB FUNCTIONS

Faculty Support

Coordinates and delivers administrative support for both full-time and adjunct faculty. Collaborates and maintains communication with faculty’s home academic departments, supporting faculty representing a wide-range of academic departments.

Performs administrative duties as associated with faculty. This includes, but is not limited to, processing forms, mailboxes, faculty handbook, and ad hoc requests for faculty support.

Participates in once yearly Delaware Campus: Adjunct Faculty Orientation. Including participation in the event, as well as creating or updating presentation, agenda, and handouts. Orders supplies to support academic instruction in compliance with College policy.

Academic Planning Support

Works Collaboratively with leadership to perform data entry regarding building, modifying, and updating course information as well as assigning classrooms for the Delaware Campus. Create classroom matrix.

Coordinates, creates and prepares reports as needed to support academic planning and scheduling for the Delaware Campus and Regional Learning Centers.

Clerical

Retrieve and analyze data reports for the Delaware Campus and Regional Learning Centers. Create reports: Researches, compiles and formulates data for reporting measures.

Logistical support and tracking of data for the Delaware Campus and Regional Learning Centers. Maintains accurate records, organization, and files. Maintains confidentiality of all sensitive records and information.

Customer Service

Provide services customers, using expertise and experience in the specialized function. Greets visitors, faculty, staff, students, and administrators. Resolves customer, operational and administrative problems. Answers phones, routes calls and takes messages. Provides assistance when necessary and responds to questions.

OTHER DUTIES AND RESPONSIBILITIES

Attends all required department meetings and training. Communicates any concerns related to building operations to appropriate contacts. Hours may include working outside of a normal workweek schedule on an as needed basis. Other duties as required inclusive of providing assistance as needed during peak periods. Regular, predictable, and punctual attendance is required.

USUAL PHYSICAL REQUIREMENTS

While performing duties of this job, the employee regularly exhibits digital dexterity when entering data into computer. The employee regularly stands and walks for extended periods of time, and occasionally sits. Employee converses verbally with others in person and by telephone. Employee occasionally reaches with hands or arms, climbs or balances and stoops, kneels, crouches or crawls. Vision demands include close, relatively detailed vision when focusing on a computer screen. Employee occasionally lifts or exerts force of up to 10 pounds when moving files, boxes and other materials.

WORKING CONDITIONS

Typical office environment. Regular exposure to moderate noise typical to business offices.

KNOWLEDGE, SKILLS AND ABILITIES

Knowledge of: standard office practices within area of specialization; effective customer service techniques; database entry systems; Microsoft Office.

Ability to : provide basic assistance and support to functional area of responsibility; develop and maintain effective working relationships with associates, vendors, students, telephone users and general public; maintain confidential and sensitive information; use good judgement; develop and maintain effective working relationships with colleagues and stakeholders across the College; effectively work with persons of varying cultures and diversity; exhibit a pleasant public manner and telephone etiquette; work independently with little supervision and in teams, as designated.

Skill in : servicing of customers within area of specialization; performing administrative duties in support of specialized function; application of job related computer software; operation of job-related equipment including computer and other equipment; demonstrates adequate skills in verbal and written communications; data entry; application of job software programs.

Minimum Qualifications:

High School Diploma or GED with at least One (1) year experience in customer service. State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s). An appropriate combination of education, training, coursework and experience may qualify a candidate.
