The CEO of the Huntsman Mental Health Foundation seeks a qualified candidate to be the Executive Assistant to the CEO.
The Huntsman Mental Health Foundation (HMHF) is a separate 501©(3) organization that raises funds from individuals, corporations, private foundations, and public sources to support the mission of the Huntsman Mental Health Institute and other organizations committed to supporting educators, researchers, and clinicians to shine a light on mental health and bring dignity and quality care to the children, adolescents, and adults and families we serve every day.
The Executive Assistant position requires excellent customer service and communications skills and will be an intermediary problem solver both internally and externally on various administrative aspects of office management. This role will provide direct administrative support to the Chief Executive Officer (CEO) of the Huntsman Mental Health Foundation. This position reports to the CEO and works closely with the departmental administrative team.

The successful candidate will have the ability to exercise good judgment in a variety of situations, strong written and verbal communication, administrative, time-management and organizational skills, social and emotional intelligence, and the ability to triage and manage multiple priorities and projects. The successful candidate will be a detail-oriented self-starter with a strong work ethic and customer service orientation, will possess superior scheduling and organizational skills, will display the ability to work independently on projects from conception to completion, and will be able to meet deadlines and produce excellent work under pressure. A successful candidate must have operational knowledge of Microsoft Office and related computer software including, Outlook, PowerPoint and Word/Excel. Experience working with a CRM is preferred.

COMPENSATION: $40,000 - $64,349

 

WORK SCHEDULE: Full Time. Day

RESPONSIBILITIES:

1. Maintains exceptional level of professionalism and discretion in managing a variety of complex administrative issues and interactions.
2. Resolves a variety of complex administrative problems for the institution leadership, board members, donors and other partners.  
3. Serves as executive assistant to CEO and provides direct administrative assistance.
4. Manages schedule and organizes CEO, including extensive meeting preparation, research and preparation of summary materials related to issues and events, travel itineraries, financial documentation.
5. Maintains record of office operations, executive office functions, and assists other foundation staff with the development and implementation of department policies.
6. Assists departmental staff in planning and organizing the department workflow, conducting performance evaluations and general human resource management, such as payroll management and employee onboarding and offboarding.
7. Assists in the formulation of department budgets and oversees budget records and reports.
8. Researches, analyzes, and prepares administrative and statistical reports and documents as requested.
9. Represents executives at meetings as required and maintains meeting minutes.
10. Takes minutes at key meetings and disseminates minutes to appropriate staff, board members, volunteers and other partners.
11. Works collaboratively with departmental leadership, including senior leadership and employees, on assigned projects, events, and other assignments including both leading and support roles.

QUALIFICATIONS:

Bachelor’s degree in Business, Finance, Health Care Administration or a related field, or equivalency required. Two years office management and supervisory experience, demonstrated knowledge of finance and budgeting, and public relations skills required. Demonstrated human relations and effective communication skills are also required.
