West Virginia University Housing with Student Life is accepting applications for a Assistant Director of Operations.

About the Opportunity

The Assistant Director of Operations (ADO) is responsible for the front facing, in building occupancy management operations in each residence hall through the building desks and staff. The ADO is also responsible for coordinating all Opening and Closing activities at the building level, execute reports on building occupancy, and coordinate residential facilities assessment.

What you'll do
  • Co-supervise and serve as primary coordinator to residence hall building Full time Desk Secretary operational duties (10); support Residence Life Specialist engagement and use of desk operation resources and staff for building specific programs and response.
  • Responsible for management of front facing desk operations in residence halls, including daily occupancy management, facilities assessment, and building based student support. Facilitate collaboration between building staff and facilities on response to student needs.
  • Respond to housing related inquiries for students and other stakeholders elevated from front desk. 1
  • Coordinate with Mail Services on successful management and delivery of resident student mail and building secured or locker-based packages.
  • Research and generate reports on resident movement and occupancy on building level.
  • Update processes and procedures as necessary in consultation with Associate Director.
  • Coordinate operational transitions with move-in/move-out and break opening and closings, and support transition to Summer Camp and Conference utilization of building desks and staff resources.
  • Support Associate Director of Operations with management of StarRez and CBord systems, and coordinate with Associate Director of Residence Life student-based data for Roompact system.
  • Support Assistant Director of Conferences and Guest Services with Summer Conferences as needed.
  • Update communications for building based services in the form of building web pages, passive, and active marketing materials.
  • Participate in Campus recruitment events during academic year, including open house events and online information sessions.
  • Manage building desk resources and assets, including information technology, recreational and utility equipment.
Qualifications :
  • Bachelor’s Degree required; Master’s preferred.
  • A minimum of three (3) year’s experience:
    • Computerized system management system; StarRez strongly preferred
    • Effective written and oral communication skills in relating to students, parents, administrators, and staff
    • Demonstrated sensitivity and effective work efforts regarding equity, social justice, and overall success of ethnically and culturally diverse students and staff.
  • Ability to understand and manage a computerized database and student information.
  • Knowledge and experience in successfully supervising and evaluating the work of others.
  • Demonstrated competence in coordinating processes and program planning/execution.
  • Ability to manage and resolve conflict, and to recognize and respond to sensitive, challenging, and confidential issues.
  • Driver’s License-Must be able to visit all residence halls around Morgantown Campus and regional campuses if needed.
