Position Summary

The Coordinator of the Sunflower Music Festival ( SMF ) handles details regarding contracts with SMF musicians including distributing, collecting, and documenting contractual arrangements and distributing checks.

Essential Job Functions of Position

Arrange for the transportation and lodging of musicians, including communicating with special travel services, organizing basic room amenities, and fulfilling unique requirements such as travel visas for international musicians, and arranging for any other special needs of musicians.

Provide assistance to SMF Board and Artistic Director as directed by SMF President/Artistic Director. As a Washburn University employee,is responsible for following and adhering to all policies, rules and regulations in respect to matters relating to university personnel policies.

Communicate with musicians as necessary. Establish communication between musicians to facilitate small group collaboration.

Such additional duties assigned by the Board of Directors are considered necessary for the successful performance of the Festival including limited administrative support duties.

Work with the Artistic Director/Concert Master in the creation of the Festival program listing details of performances, schedules, biographies, donor lists and other items.

Coordinate activities of Stage Manager and Facilities Services staff to ensure necessary practice, rehearsal, storage and performance facilities are available.

Coordinate with Washburn Music Department regarding availability of space including a concert hall, rehearsal rooms, classrooms, and private studios.

Work with design and production personnel to prepare required information for promotional posters, Festival Programs (printed), website, and social media accounts.

Plan special events for Board and musicians.

Assist with marketing and promotion.

Support fundraising activities including record keeping associated with donors.

Facilitate pre-award grant writing strategies and monitor and document post-award record keeping.

Maintain budget and financial records, musical recordings, promotional material, historical records, and SMF Board contact info.

Select and manage the following non-university staff: office assistant, stage manager (seasonal), Blanche Bryden chaperones (seasonal), photographer, videographer, and any other needed festival staff.

Perform additional job-related duties as assigned or as appropriate.

Non-Essential Job Functions of Position

Education and Experience

Preferred: Bachelor’s degree, background in music, and experience in working with boards, acquiring international work visas, and drafting contracts.

Knowledge, Skills & Abilities

Demonstrated leadership ability by working with and coordinating groups and individuals to successfully perform events and activities.
Demonstrated ability to prioritize multiple tasks while working independently. Demonstrated effective skills with web communication to conduct event administration including the use of social media, text messaging, excel spreadsheets, and especially email.
