Primary Purpose and General Responsibilities:

The Senior Administrator Coordinator will perform a variety of administrative, logistical, and technical tasks essential for ensuring excellence and efficient Department operations for the Department of Foundations, School of Education. They will assist the Department Chair in the organization, maintenance and implementation of Department operations including responsibilities in the areas of communication, financial management, office support, record-keeping, faculty and student support. The position requires strong administrative skills, commitment to the university, school and department and a high level of contact with the Department Chair, faculty and students. The Senior Administrative Coordinator may work independently or as a part of a team. They must be able to apply intuitive, analytical, and problem-solving skills to manage daily tasks for which they are responsible.

The Senior Administrative Coordinator will support the Chair with administrative tasks to include:
- Working with the Office of Records and Registration to schedule courses.
- Coordinating with Program Coordinators in other departments, unit-level undergraduate and graduate advisors to support course scheduling.
- Analyzing enrollment trends, projections and relevant data to forecast course scheduling needs to support undergraduate and masters level programs, student outcomes and admission requirements.
- Providing fiscal administrative support by preparing and processing procurement and travel expense reimbursements and tracking department expenditures.
- Processing forms needed to assist faculty and students with course enrollment and grading procedures.
- Developing internal processes and procedures to ensure process improvement and efficiency of department operations.
- Assisting with faculty hiring and onboarding.
- Assisting with communication, course coordination and instructional support for adjunct faculty
Maintaining records and documents in compliance with in accordance with state record-keeping guidelines.
- Maintaining a clean, organized, inviting office space.
- Serving as a resource for other administrative staff within the unit.
- Other related duties as assigned.

The Senior Administrative Coordinator will support Faculty Program Coordinators with tasks to include:
- Partnering with the Office of Graduate Studies to coordinate and manage application and admissions process.
- Collaborating with the Office of Enrollment Management and Office of Communications on recruitment activities and marketing strategy (program recruitment, brochures, website).
- Assisting with advising and responding to the needs of current and prospective students
Coordinating program events and activities (i.e., information sessions, orientation, recruitment activities).
- Representing the department at relevant school, committee and team (e.g., Graduate Team) meetings.
- Other related duties as assigned.

Required Duties:

- Excellent written/verbal communication and customer service skills.

- Excellent computer skills and experience with Microsoft Office Suite, Google Suite and data management systems.

- Demonstrated ability to organize and prioritize work.

- Demonstrated ability to manage and complete multiple tasks by stated deadlines.

- Demonstrated ability to work independently and as part of a team.

- Demonstrated ability to exercise strong attention to detail and initiative in a fast paced environment.

- Demonstrated ability to maintain established work standards and procedures, as well as adapt easily to procedural changes.

- Demonstrated ability to make informed decisions to independently resolve problems and address questions from faculty and students.

- 2-4 years of relevant administrative experience or equivalent combination of education, training and experience Knowledge of university organization, policies, and procedures Ability to maintain confidentiality

Preferred Qualifications:

- Experience using Banner, Navigate, Canvas, Excel Work experience in a higher education environment.

- Experience with data management and reporting skills Experience with managing, training, or coaching others.

- Bachelor’s degree.

Salary Range: $46,000 - $50,000
