Job Description:

DIVISION: Academic

BASIC FUNCTION: Successful candidates will demonstrate the ability to work independently, as well as part of a team, to manage multiple tasks simultaneously with minimal supervision for the College of Arts and Sciences Departments, as well as supporting the Directors of Interdisciplinary Programs as assigned. Seeking proficiency in managing department and program budgets.

KNOWLEDGE AND SKILL NEEDED:

EDUCATION: Associates Degree or higher preferred or equivalent office experience

EXPERIENCE: A minimum of 5 years of office experience is required. A strong ability to work and communicate with others is essential, requiring well-developed interpersonal, organizational, and problem-solving skills with strong customer service and attention to detail. The ability to work independently and carry tasks through to completion. To plan and anticipate yearly workflows and work closely with Chairs and Directors, as well as the Dean’s Office. Proficiency with Microsoft Office (including Excel, Word, and Outlook), as well as an aptitude for learning new systems and tools.

REPORTS TO: CAS Director of Operations and Budget Manager

ESSENTIAL FUNCTIONS:

Manages all department and Program budget and finance needs. This involves:
  • coordinating and managing budgetary and financial operations for the departments and programs assigned, including monitoring budget availability throughout the budget cycle;

  • managing all budgetary processes through the Work Day application;

  • assisting department chairs and directors with annual budget submission.

Course Registration Process. This involves:
  • coordinating and processing electronic submission of semester course offerings for areas of support through the CourseLeaf application, inclusive of identifying appropriate Magis Core attributes;

  • assisting department chair with verifying approval of WAC/WID course releases;

  • organizing registration materials, assisting with the monitoring of faculty teaching loads and schedules, and student enrollments;

  • monitoring course enrollments and assisting with CAS enrollment management team and reporting to chairs and directors;

  • with Chair/Dean approval, canceling low enrolled classes and moving students to other sections. This entails looking up student schedules and follow-up with instructors and students, etc.

Faculty Hiring Process. This involves:
  • assisting chairs with the hiring of new tenure track and part-time faculty;

  • for full-time faculty searches, assistant chairs in developing the line request;

  • working with the Dean’s Office, ensuring that new FT faculty member is assigned an office, has business cards and is in general ready to teach their first classes, and working with ITS to ensure their university supplies receive office phone, computer and iPad.

  • assisting in the orientation of part-time faculty, including compiling application information and directing them towards the next steps through the hiring process, coordinating necessary setup—office space, Blackboard, ITS, etc., and any necessary training.

This position is based at Fairfield University’s Fairfield, CT campus and is not eligible for immigration assistance.
