Purpose of Position
This position manages administrative functions in the areas of
accounting, budget, office management, operational assistance, and
other administrative support for University Advancement. This

Provides general office management (i.e., processing incoming mail,
routing checks/gifts, ordering supplies, copying, maintaining
files, assisting with signature/approval coordination, mailing
coordination, maintenance requests, back-up phone coverage,
Assists with purchase requisitions, invoice payment, and vendor
Completes procurement card reconciliation, preparation of account
reports and obtains approvals.
Assists with managing department budgets/accounts.
Coordinates meeting logistics (e.g., room scheduling, catering,
technology, printing, on-site assistance) as needed.
Makes travel arrangements, obtains approvals, tracks travel
expenses, and prepares reimbursement requests.
Completes reimbursement process for employee expenses (e.g. donor
Assists with personnel management activities including tracking
absence requests and time approval, hiring paperwork, HR documents,
cell phone stipends, new hire phone set-up, training new staff on
processes/procedures, etc. as requested.
Provides calendar scheduling assistance as requested.
Provides office reception for VP/Foundation office.
Other administrative assistance as requested (planning and
executing division-specific events (e.g., holiday party, retreats,
trainings); annual processes including but not limited to fixed
asset inventories, computer replacement program, and key audits;
ordering flowers, staffing university events.
Bachelor’s Degree and minimum of 4 years related experience.
Strong organizational skills with the ability to prioritize and
manage multiple demands at one time; experience in a high-volume
business office preferred. Computer/software proficient. Knowledge
of SAP and NKU policies and procedures strongly preferred.
Interpersonal skills, professional demeanor, positive attitude, and
a desire to provide excellent service. High level of accountability
