About the Opportunity

Job Summary:
The Executive Assistant provides executive level support for the Executive Vice Provost and a Vice Provost within the Office of the Provost. Responsible for managing the EVP and VP's administrative needs as well as academic operational needs to ensure that their time is effectively allocated and that they have the information/materials needed to advance the priorities of the office. Engage in project work as needed. Act as administrative lead and have actionable knowledge of all initiatives for four major university committees. The Executive Assistant provides a comprehensive range of support services to ensure the overall efficiency of the Senior Vice Provost's office and the Office of the Provost.

Qualifications:
Bachelor's degree required; masters preferred. Minimum of 3-5 years of administrative experience required, preferably in higher education or executive setting, and preferably including operations support. Experience managing staff. Must be a self-motivated worker who can anticipate problems and demonstrate significant independent judgment. Detail oriented; high-level attention to accuracy and completeness required. Excellent verbal and written communication skills. Must have excellent computer skills including, Microsoft Office (Word, Excel, PowerPoint, Outlook and SharePoint).

Job Duties:
Manage the EVP and VP's Activities and Calendar - Provide office management and executive level administrative support, as well as maintaining organized filing and database systems. Manages EVP and VP's calendar and coordinates high-level meetings. Manage high volume of demands for the EVP and VP's time by prioritizing requests while demonstrating significant independent judgment in identifying and resolving potential conflicts. Monitor and advance progress on key initiatives being managed by the EVP and VP. (35%)

Committee Management - effective management of all administrative functions for four major university committees. Responsibilities include, but are not limited to, preparing agendas, taking accurate meeting notes, coordinating the curriculum approval process and acting as a resource for all committee initiatives. (35%)

Research and Special Projects - Conducts research and prepares reports in anticipation of EVP and VP's information needs. Handles event coordination as needed. Serves as liaison between the EVP and VP's office and coordinating university offices on a variety of topics. Provide assistance and leadership for special projects. (20%)

Work effectively with the Office of the Provost staff members, as needed, on special department initiatives. (10%)
