The Administrative Assistant is responsible for assisting the director, faculty, staff, and students by performing a variety of professional and administrative tasks that facilitate the day-to-day and long­ term operations in the Nutrition Science and Dietetics programs in the David B. Falk College of Sport and Human Dynamics. The work requires the use of considerable independent judgment and discretion in support of the work efforts in the Nutrition Science and Dietetics Programs and Falk College. This position requires frequent collaboration with other departments and may be asked to take on tasks in support of academic programming, projects, or initiatives. Qualifications
Bachelor’s Degree and 3-5 years of administrative experience in higher education or an equivalent combination of education and experience. Job Specific Qualifications

  • Faculty Support: Assist faculty with day-to-day operations such as room reservations, VIP parking, etc. Compile syllabi two weeks into every semester and send to Dean’s Office. Attend program faculty meetings and prepare minutes. Provide administrative support to the program directors and the faculty including planning and implementing all functions, retreats, opening weekend events, luncheons, speakers, special events, special programs, etc. Distribute and coordinate all incoming graduate applications for graduate committee review. Assist with all forms necessary for assistantship, tuition credits and other graduate awards. Edit handbooks for specialized programs in the academic unit. Actively participates as a coordinator in departmental faculty search process.
  • Student Support: Assign advisors for incoming students and transfers. Create and maintain databases to manage student information. Maintain undergraduate and graduate advising files in office and listservs. Assist students with registration, assigning permission numbers for courses as needed. Assist students in the completion of academic forms.
  • Support Accredited Programs: Provide administrative support to the accredited dietetics programs. Work with the directors of these programs to submit accreditation documents and assist in tracking required competencies. Assist in organizing and implementing annual advisory board meetings and student interviews.
  • General Office Duties: Independently manages and oversees the daily operations of the NSD programs to maintain a positive and professional atmosphere. Maintain email correspondence for all list serves. Functions as the department’s contact person for all email and telephone inquiries/questions. Serves as Department liaison for students, the College, the University, and the public. Responsible for the NSD program’s class scheduling (PeopleSoft system maintenance, room assignments, senate curriculum forms and procedures). Annually manage student award selections, distribution of announcement of awards, and submission of student award information to the Dean’s office.
  • Program Finances: Arrange for payment of all program bills. Reconcile monthly budget and Pro-card statements. Complete Requests to Expend forms. Order office supplies.
