The Administrative Specialist will provide administrative support to the Student Affairs and Registrar’s Offices within the suite. The position will serve as initial point of contact for the offices, greeting students, answering phones, and monitoring and answering emails. The position will assist with scheduling and maintaining calendars; make travel arrangements; complete financial transactions; order supplies; and provide support for events and programming, as well as enter student information into tracking systems, upload documents, and perform accounting for student organizations.
Additionally, the Administrative Specialist will be responsible for scanning and indexing archival records, providing midterm and final exam support, and providing first level information to students regarding academic resources, including academic calendars and the academic handbook, joint degree application processes, and general questions regarding enrollment and registration. Qualifications
Associate’s or Bachelor’s degree preferred, may substitute 3-5 years of relevant professional administrative support experience. Experience working in higher education strongly preferred. Job Specific Qualifications
Strong skills in the full Microsoft suite is required. Ability to use and learn web and software tools and systems necessary. Successful candidate must have excellent interpersonal and organizational skills, demonstrate initiative, and be able to multi-task and work closely and collaboratively with all levels of staff and faculty.

Responsibilities
  • Provide a range of administrative support to the Student Affairs and Registrar staff. Serve as the first point of contact for students, faculty, staff, and others by phone, in-person, and email; must provide high quality customer service. Office duties may include answering and managing phone calls; greeting and assisting visitors; creating, completing, and managing documents including appropriate filing; ordering supplies; reserving space, and coordinating meetings. Assist Student Affairs leadership with editing and revising office correspondence and processes including student organization procedures and guidelines. Assist Registrar’s Office leadership with archival records scanning project, meeting agreed upon targets and deadlines, utilize software to index all scanned files.
  • Work with and on behalf of students and student organizations in several ways: to reserve space, schedule meetings or special events, ensure completion of all necessary approvals and forms, order catering or other supplies, and assist with associated financial forms. Provide first level information to students regarding answers and resources for the affiliated departments (Registrar’s, Career Services and Student Affairs offices). Provide exam support, including quizzes, midterms, and finals to the Registrar’s Office and Senior Access Coordinator and Registrar’s Office with exams including quizzes, midterms, and finals. Proctor exams when necessary.
  • Complete all necessary financial paperwork related to office operations and student organization accounting including deposit slips, requisitions, Interdepartmental forms, purchase orders, travel reimbursements, and credit card reconciliations. Work with the College of Law Budget and Operations office as necessary to ensure timely submission of reconciliations and accounting paperwork. Assist Registrar’s Office with joint degree application process including answering questions and providing accurate information to prospective joint degree students.
  • Provide backup to other administrative support professionals in the College of Law. Will be cross-trained on web-based and software systems and email listservs. Assist as necessary to coordinate and staff College of Law events, including Convocation, Commencement, and others including those held outside of typical business hours.
  • Other duties as assigned.
