Brief Summary of Work for this Position

The Academic Resources Coordinator, in collaboration with the Assistant Director for Advising and Training, is responsible for identifying, organizing, and leading the team toward academic advising excellence by managing a system for tracking curricular updates across all degree programs. This work involves close collaboration and relationships with faculty senate and academic departments. In addition, this individual must have the ability to gather large quantities of academic information and distill it into a manageable form for academic advisors to use as they meet the needs of students.

The position works with the Assistant Director for Advising & Training in the development of academic resources and materials for training, including co-leading the training committee and managing the schedule of onboarding meetings for new team members. This work requires effective communication, collaboration, and coordination with internal and external stakeholders. In addition, the Academic Resources Coordinator supports academic advising efforts delivered through University College by providing academic advising services to approximately 100 students, participating in Spring and Summer orientation sessions, serving on assigned task forces or committees, and other duties as assigned to support University College’s mission.

Furthermore, the Academic Resources Coordinator works closely with the UC Business Office, Faculty Senate, Curriculog, Transfer Student Success Coordinators, Department Chairs, and University College team members to ensure University College serves as a leader in academic advising resources for new students and for UNCW .

These duties include, but are not limited to:
  • Development, management, and oversight for all academic resources used to support academic advisors. This may include, but is not limited to, collaboratively working on major and minor sheets, curricular updates, collaboration around Baccalaureate Degree Plans, and the needs of transfer students from an academic resources lens.
  • Create, manage, and train University College team members on how to use Curriculog, the University Catalog, and other academic resources as they are developed.
  • Ensure academic advising resources such as placement, transfer credit, and other necessary information are up to date and accessible for advising registration appointments and during orientation.
  • Serve on the UC Orientation Committee.
  • Coordinate and manage the Academic Liaison program to ensure departmental curricular changes are shared with University College team members.
  • Collaborate with the University College Curriculum Coordinator, Orientation Coordinator, Academic Advising Technologist, and Assessment Coordinator to ensure communication and information sharing across University College teams related to academic resources.
  • Collaborate with the academic advisor in University College responsible for early registration to ensure a seamless experience for students.
  • Serve as a resource regarding all aspects of curricular-focused academic advising resources for UC team members and other interested stakeholders as needed.
  • Co-lead the training committee through the creation of training materials and implement the training of University College staff and other stakeholders as identified to ensure academic advising resources are available, shared, and utilized.
  • Continually assess the needs of advisors and the UC Business Office around academic resources to identify gaps in knowledge, and to improve advising services for University College students and connected stakeholders.
  • Represent University College in meetings with department chairs, academic programs, Admissions, Financial Aid, Registrar, Military Affairs, and other departments regarding the needs of academic resources for advising purposes.
Minimum Education and Experience Requirements
  • Master’s degree and 1-2 years of work experience in a related university or college setting.
  • Experience in planning, executing, and leading others through complex processes involving data, project management, and a systems approach to streamlining academic resources.
  • Effectively work both independently and cooperatively in a team environment.
  • Excellent written, oral, and interpersonal communication skills.
  • High degree of accuracy and excellent attention to detail.
  • Excellent decision-making and organizational skills.
  • Experience offering excellent customer service in a fast-paced environment.
  • Understands the needs of academic advisors, advising practices, and students in the process and system of advising.
  • Is committed to process improvement and evaluation related to academic advising approaches and academic resources across campus.
Preferred Education, Knowledge, Skills & Experience
  • Master’s Degree in higher education, college counseling, student affairs, or other closely related fields.
  • 2-3 years of experience in higher education, preferably involving academic advising, academic coaching, or other closely related collegiate advising experience.
  • Previous experience in higher education working with first- and second-year students and students transitioning to a college or university setting.
  • Experience in an academic advising setting managing a large operation such as the planning and dissemination of academic advising and curricular resources, or other closely related process or system.
  • Possess skill, knowledge, and ability to communicate with a broad constituency including UNCW senior leadership.

Academic Affairs is the central division for implementing the mission of the University of North Carolina Wilmington. Through effective academic policies, practices, and programs, it provides leadership for excellence in teaching, scholarship, and creative work as well as service to local, regional, and global communities.

The division allocates resources to recruit and retain faculty scholars and to create a learning environment that encourages students. As part of the University’s commitment to excellence in undergraduate education, University College was created to provide academic advising and support to UNCW students from the time of their admission until they declare their major, which is usually in their sophomore year.

The primary focus of University College is to ensure that students make a successful transition to UNCW, are retained in good academic standing, and identify and declare an appropriate major. Through its advisors and academic support programs, University College works with students in their formative semesters to assist them in developing their interests, skills, and talents to the fullest extent.

College/School Information

The University College is the first academic home for over 3,000 new first-year students each year. First-year students (including select transfer and military students) are advised in the University College until they declare a major or pre-major. The University College also administers the following academic programs and courses: First Year Seminar, Academic Learning Communities, and Synergy: The UNCW Common Reading program in addition to supporting student who are interested in Pre-Health and pre-Law professions.
