The University of Florida is looking for a talented administrative professional to join the Office of the Vice President and support the strategic goals and staffing mission of UF Human Resources.

The Opportunity

The Administrative Specialist serves as the internal consultant for administrative matters within the Office of the Vice President for Human Resources.

The position interacts with all areas of UFHR and is responsible for providing guidance and direction for UFHR hiring, classifications, employee life-cycle processes, expenses, payroll, office activities and other processes.

The Administrative Specialists plays a key role in the operations and management of the Human Resources Office.

Administrative Specialist reports to the Executive Assistant and is provided with guidance, instruction and training from the Executive Assistant and other UFHR managers.

Key Responsibilities
  • Act as an internal consultant for the purposes of supporting the staffing mission of UFHR.
  • Provide guidance, direction and support for HR hiring, classification actions, termination/retirement processes, and other processes.
  • Process all payments to internal and external vendors, including all HR contractual agreements.
  • Manage UFHR special activities and programs including coordinating and assisting with these events, serving as a liaison between the Vice President’s Office fiscal area and the HR department coordinators.
  • Responsible for payroll including handling issues, completing forms and reviewing the preliminary payroll reports each pay period.
  • Manage the new employee onboarding process
  • Establishes priorities and deadlines, makes work assignments, and manages office activities.
  • Disseminates information to units and serves as a unit resource.
  • Manages travel arrangements for the HR team. Works with other HR employees to make travel arrangements and to process reimbursement requests.
  • Supports both the vice president and assistant vice president with scheduling meetings.
  • Manages software inventory and acts as the Software Liaison for UFHR
  • Serve as the contact for the PrintSmart program, maintain record of all printers within HR.
  • Manages IT equipment inventory and serves as contact with UFIT as needed.
  • Serves as backup Department Security Administrator
  • Serves as department contact for Asset Management and coordinates annual inventory and surplus processes.
  • Maintain a high level of confidentiality relating to complex and sensitive issues.

Expected Salary:

$23.95 per hour, commensurate with experience

Minimum Requirements:

Bachelor’s degree; or an equivalent combination of education and relevant experience.

Preferred Qualifications:
  • Commitment to providing excellent customer service
  • Ability to establish and maintain effective working relationships with others
  • Highly organized with an ability to handle multiple tasks efficiently and timely
  • Strong computer skills in Microsoft Office applications
  • Proofreading and editing skills
  • Experience working in an Executive, VP’s or Dean’s Office
