Job Summary

The College of Music (COM) at CU Boulder encourages applications for a Communications & Program Assistant! The Communications & Program Assistant is primarily responsible for supporting two centers in the COM: The American Music Research Center (AMRC) and the Entrepreneurship Center for Music (ECM). This position works in close collaboration with the faculty director of each center to provide support that includes event management, center communications, center procurement, and budget management. In addition, this position works under the direction of the Assistant Dean of Budget & Finance to provide travel and procurement support for the COM and under the direction of the Director of Communications to provide communication support for the COM during the summer months and as capacity allows during the academic year. This position reports to the Assistant Dean for Budget & Finance in the COM to enable close collaboration and partnership with colleagues in the areas of finance, operations, and communications.

The American Music Research Center (AMRC) is dedicated to exploring and celebrating the diverse and rich traditions of American music. Jointly housed between the University of Colorado’s College of Music and the University Libraries, the AMRC is home to a rare music repository that includes scores, papers, recordings, and material artifacts that document the history of American music and the people who have made it. The AMRC regularly sponsors public events and community outreach activities.

The Entrepreneurship Center for Music (ECM) is charged with coordinating and delivering professional development curriculum and services to students and alumni of the College of Music at CU Boulder. The center offers academic courses at the undergraduate and graduate level, including a Certificate in Music Entrepreneurship, co-curricular offerings (workshops, experiential learning opportunities), internships, and career mentoring. The ECM also serves as the coordinating body for arts-related entrepreneurship offerings for the entire Boulder campus, is the point of contact for art-related entrepreneurship programming in the greater Boulder community and is a leading voice in the emerging field of arts entrepreneurship on the national and international stages.

What Your Key Responsibilities Will Be

AMRC Support

Working in close collaboration with the AMRC director, plan and coordinate logistics for AMRC events, which include quarterly AMRC Advisory Board meetings, ad hoc meetings with volunteer subcommittees, guest lectures, symposiums and other public events. Specific event-related tasks include securing a venue, coordinating agendas, making travel arrangements for guest speakers, identifying and contacting potential attendees, and collaborating with CU Presents to be included in general distribution of publicity and calendaring.

Create and publish promotional materials such as ads, posters, web announcements and feature stories; as well as create media releases to relevant publications in coordination with the communications director.

Create and maintain the AMRC website and social media outlets.

Collaborate with the communications director to ensure consistency with COM editorial style and messaging, and for coordination and amplification of above-mentioned AMRC communications and media outreach with overall COM communications.

Facilitate AMRC procurement, reconcile AMRC financial reports, and track budgets in AMRC general, gift and grant fund Speedtypes.

Handle AMRC email communications and provide administrative support for AMRC-sponsored research awards and travel grants.

Maintain the AMRC Bylaws and Program Plan documentation and assist with the center reauthorization process, which occurs every seven years (the next authorization is slated for 2025).

ECM Support

Working in close collaboration with the ECM director to prioritize, plan and execute professional development events, including scheduling featured guests, managing communications, processing honorarium payments, coordinating event logistics (e.g., scheduling rooms, ordering food, event setup/take down, etc.) and moderating when needed. Maintain a digital calendar of all upcoming events and coordinate marketing and promotion of events. Promote ECM events and opportunities through email and social media channels and supervise student workers who assist in creating and posting content. Maintain connection with campus Innovation & Entrepreneurship (I&E) partners and initiatives by assisting with I&E events and providing arts-related content when appropriate.

Assist the ECM director with administration of internships and in this capacity:
  • Manage relationship with CU Career Services internship programs.
  • Process requests for proposed internships (RFPs) from partner organizations.
  • Process student internship applications in collaboration with ECM director.
  • Promote internship opportunities on social media, listservs, etc.
  • Ensure regular storytelling of internship activities by tracking in-progress internships and obtaining feedback from interns and internship organizations.
Maintain Canvas content, which includes samples (e.g., résumés, cover letters, etc.), event archives, job boards, internship opportunities and other resources. Promote Canvas engagement by coordinating a push at the beginning of each semester and continually pointing students to the platform. Promote job opportunities as they arise (e.g., summer festivals, local arts organizations, churches, community music schools, etc.).

Maintain media database documenting ECM activities, student stories, etc. Maintain ECM mailing list through MailChimp. Maintain and update ECM website.

Collaborate with the communications director to ensure consistency with COM editorial style and messaging.

Facilitate ECM procurement, reconcile ECM financial reports, and track budgets in ECM general and gift fund Speedtypes.

Maintain the ECM Bylaws and Program Plan documentation and assist with the center reauthorization process.

COM Support

Be a designated travel cardholder which includes:
  • Stay current on all college, campus and system policies related to travel.
  • Interpret and apply knowledge of policies and standard processes when booking travel arrangements for guests and faculty directors of the AMRC and ECM.
  • Submit travel expense reports in a timely and accurate manner.
  • Serve as a backup to the primary COM travel coordinator.
Be a designated procurement cardholder and CU Marketplace purchaser for the college to include:
  • Process purchases via procurement card and CU Marketplace for the ARMC and ECM.
  • Process honorarium payments via CU Marketplace for the AMRC and ECM.
  • Process warrant adjustments, payment authorizations, Scopes of Work and other procurement-related forms for the AMRC and ECM.
  • Submit travel expense reports in a timely and accurate manner.
  • Provide backup purchasing support for other areas of the college.
Assist the communications director with generating multimedia and written content to advance awareness of COM academics and reputation, including occasional web stories, short videos and photography requests.

Attend weekly meetings as a member of the COM finance team and be flexible to provide assistance where needed and when capacity allows.

Allocation of time for this position is expected to be approximately 45% AMRC, 45% ECM and 10% COM during the academic year (mid-August through mid-May); and 25% AMRC, 25% ECM and 50% COM during the summer (mid-May through mid-August).

What You Should Know
  • Regular schedule Monday through Friday with some events on evening and weekends. Position will primarily be in-person but may be eligible for a hybrid work agreement in alignment with campus policies on work modality.

What We Can Offer

Annual Salary Range is $50,000-$53,000. Limited relocation assistance available.

  • A bachelor’s degree in business, communications, music or related field. A minimum of one year of related professional experience.
