Job Description:

The Diagnostic Imaging Service at the University of Florida Veterinary Hospital is recruiting for a
Veterinary Assistant to mainly assist in various administrative needs for the service and
also be able to help with patient when needed. This position's main responsibilities will maintain the reporting process and data information maintenance that is a crucial part of the medical record. This will include duties such as providing excellent customer service, answering phones, routing visitors, and mailing out reports,
ensuring reports are in medical records, and placing work orders. A small portion of the job will include
assisting on the clinical floor with transport and positioning of patients. Individual should genuinely care
about people and animals, possess excellent communication skills, highly organized, strong public
relations skills, initiative to problem solve, active listening skills, confidence in handling customer
interactions, relationship building skills, projecting a professional image, and good interpersonal skills.
Must be outgoing, full of enthusiasm and a team player. This position is considered essential personnel

An individual in this position must possess excellent communication skills and be proactive in determining the needs of the hospital. A successful applicant should enjoy learning new things and can quickly adapt to a changing environment. They need to possess a good base knowledge of veterinary medicine and express a positive attitude in their daily work. The individual must be able to communicate effectively, demonstrate critical thinking and professionalism.

This is a full-time, benefited position and is considered essential personnel. A post-offer education verification, background check, and health assessment are required.

 Clerical and Administrative Duties
This position will act as support and back up to the program assistant and manager to ensure clerical
and administrative tasks are completed in a timely and accurate manner. This position needs to foster
positivity, respect, and trust and be able to work independently and efficiently. Strive to build cohesive
relationships among staff, students, and clients by creating a culture of dialogue and inviting thoughts
and ideas to discuss.
Examples of this include but not limited to the following:
• Maintain Data Base of daily cases adding report conclusions and resident and faculty.
• Check RIS and PACS for errors in patient data.
• Check medical record for errors in charges relating to Diagnostic Imaging.
• Move finalized reports into the medical records with accuracy foremost.
• Send images to RDVM through cloud base portal.
• Assist with student communication with course orientations.
• Mail back radiographs to RDVMs.
• Scan CD images into PACS system.
• Down load images into PACS form email accesses.
• Maintain a friendly welcoming respectful tone and an attitude that you are glad to help.
• Take notes to understand their concerns or needs.
• If unsure of answer to client question, and no one is available to help, get a number and
• follow up as soon as possible.
• Follow HIPPA regulations and the hospital policy for sharing information.
• Assist in identifying patients for post-operative examinations and special concerns by use of
(Hold) flagging of those patients.
• Demonstrate the ability to identify patients having multiple imaging procedures.
• Demonstrate the ability to cancel or reschedule patients.
• Demonstrate the ability to identify missing information and direct this to staff Technicians
• and or Program Assistant.
• Mark patient as arrived, begin and completed when directed by Technician.
• Basic working knowledge of PACS management
• Ability to find patient’s images in the PACS system
• Ability to evaluate quality of images in PACS and identify errors.
• Provide reports upon request

Veterinary Assistant Nursing Care 
  The primary role of the assistant is to support the veterinarians and veterinary technicians so they can
focus on their responsibilities. Primary duties will assist the veterinary technicians, students, and
doctors. As part of the patient care team it is important to communicate in a warm and friendly manner
to all parties, be proactive in understanding what is happening with the patient, and ask frequently
“how can I help?” All parties of the patient care team should promote teamwork within the service and
with lateral services to meet the needs of our patients and effectively support team members.

Examples include, but are not limited to:  
• Properly identify patients and safely transport patient in the hospitals
• Weigh patients and ensure weights are accurate in the medical record and RIS
• Safely administer sedation as needed following protocols and veterinarian’s orders while continuing to monitor patients while under your care.
• Able to provide appropriate and safe monitoring to a patient under sedation
• Maintain yearly training in CPR
• Perform Digital Diagnostic Imaging Examinations with a high level of accuracy in large animal, small animal and post-operative areas.
• Demonstrate the knowledge and use of ALARA in regards to radiation safety.
• Able to proficiently obtain acceptable images for the number of modalities for this level.
• Documenting in electronic medical records 
• Reviewing and entering patient charges appropriately 

Documentation and Scheduling 
Proper documentation is important for patient care. We expect our employees to be proactive when it comes to communication and scheduling to help facilitate the best needs of the patients and schedule. Our technicians need to be proficient in our hospital information systems especially the Radiology Information System. Patient records should be complete and proper information provided to all parties. Individuals must foster positivity, respect, and trust throughout their interactions, demonstrating proactivity in communication and scheduling to help facilitate the needs of the patients and schedule. Clients include owners, referring veterinarians, other department/service team members, and veterinary students. Delivery methods include orally, written, and in digital platforms. 

Examples include, but are not limited to: 
• Demonstrate the ability to proficiently work within the RIS (Radiology Information System) schedule
• Obtain a working knowledge of the PACS (Imaged storage and viewing software.)
• Assist hospital services when scheduling patients in the RIS system
• Demonstrate a basic understanding of the functionality of the RIS in regards to patient flow.
• Identify and resolve errors in the RIS order
• Assist with the monitoring of sedated patients when in Diagnostic Imaging and during transport.

Teaching and Mentoring 
The focus of teaching and mentoring is to provide an opportunity for others to learn by creating a safe and welcoming environment and building cohesive relationships amongst all individuals. Promoting further education and development is achieved by fostering teamwork, positivity, respect, and trust along with creating a culture of constructive dialogue by inviting thoughts and new ideas for discussion. Veterinary students, technician interns, shadowing technician students, assistants, and volunteers are all examples of individuals that can benefit from teaching and mentoring efforts. Delivery methods include orally, written, and in digital platforms. 

Examples include, but are not limited to: 
• Instructing students and new team members including fellow technicians, assistants, and volunteers in technical skills and professionalism using a variety of teaching techniques 
• Evaluating and monitoring progress and intervening when necessary to ensure their success 
• Recognizing students that may be struggling with either technical skills or concepts and trying to assist and encourage them while also informing the faculty so they can assist 
• Communicating in a warm and friendly manner to all parties of the patient care team and asking frequently: “how can I help?” 
• Conducting teaching moments in structured orientations, or throughout the day on a one-on-one or group basis 
• Help others with RIS orders and PACS use or by finding answers to questions that are not in your knowledge base by redirecting them to an appropriate person.

Hospital Cleanliness 
The focus of hospital cleanliness is to provide an uncompromising level of cleanliness throughout the facilities while creating a safe and accident-free environment. This will ensure the ability to maintain a productive, organized service in preparation to attend to clients and patients as well as preventing infection and cross contamination. The overall aesthetics of the hospital is a direct reflection on the high-quality care we provide so it is important the areas are kept in pristine condition. Areas to maintain include designated department/service treatment rooms and exams rooms along with communal areas when needed.  

Examples include, but are not limited to: 
• Sweeping and mopping floors daily and as needed 
• Taking out trash and recyclables as needed 
• Ensuring cages and runs including drains, grates, and doors are cleaned daily and as needed 
• Assisting with processing laundry as needed 
• Disinfecting and cleaning equipment regularly  
• Maintaining equipment within the hospital as applicable to this position and reporting broken or malfunctioning equipment to the appropriate manager 
• Reporting broken or malfunctioning infrastructure to the appropriate manager and requesting work orders as directed 
• Maintaining inventory and replenishing stock on a regular basis 
• Checking drug and supply expiration dates as needed 
• Practicing appropriate infection control measures by managing biohazardous patient care items and lab specimens appropriately 

Typical schedule will be Monday through Friday 8am – 5:00pm.
• May require working earlier then 8:00 a.m. or later than 5:00 p.m. 
• Schedule may change due to covering other shifts and it may be required to assist in other areas of the hospital depending on patient care needs. 
• Individual is considered essential personnel which may include reporting to work during Main Campus closures.

Expected Salary:

$15-16/hourly, salary dependent on experience

Minimum Requirements:

High school diploma or equivalent.

Preferred Qualifications:
  • Experience in veterinary medicine and diagnostic Imaging
  • Certified veterinary assistant
