Program Coordinator - Clinical Nursing Program (50% of Full-time)



Description

Columbia Basin College ('CBC' or the 'College') seeks a Program Coordinator responsible for the coordination and work related to the Nursing programs. This includes providing in-depth customer service to students, staff, program participants and the public regarding program content, policies, procedures and activities. The Program Coordinator will also assist with the budget for the Nursing program. This position will collaborate with other staff and departments to ensure efficient and timely processes are developed and implemented. The Program Coordinator reports to the Dean for Health Sciences.

Primary Responsibilities
  • Facilitate contract renewals with clinical affiliates and partner schools as well as new contract development with clinical partners;
  • Acquire student clinical placements for the academic year; monitor all documentation requirements by students and staff to ensure compliance and onboard students and faculty to their clinical sites; facilitate background checks required for placement in health care settings which may involve multiple locations per student per quarter; additional duties include working with the Dean for Health Sciences to establish placement availability with the health partners and acquiring new sites to enhance educational opportunities for students;
  • Serve as a primary point of contact for students, staff, faculty, and healthcare organizations with regard to clinical student placement and onboarding; answer telephone, resolve problems and provide information and advice to students, staff, program participants and/or the public regarding program content, policies and activities, recommend alternative courses of action; promote the program on campus with outside organizations;
  • Manage the database for accreditation and clinical placement purposes including incident reporting, student placements, preceptor documentation, site evaluations, etc.; maintenance of database to ensure compliance with state and accreditation requirements;
  • Track and update all clinical and licensure related documents for students and faculty/staff to ensure compliance with clinical site, state and accreditation requirements; includes monitoring the CastleBranch student requirement database for compliance;
  • Compile and distribute information relative to program activities, confer with other campus departments and outside agencies; serve as resource person for campus committees concerned with program operations; interpret statistical data, historical activity reports, and other materials in the functional area;
  • Coordinate arrangements for program activities such as meetings, conferences, and student clinical site orientations;
  • Review documents, records, and applications for completeness, accuracy, and compliance with rules; determine and explain action necessary to achieve compliance or approval;
  • Attend meetings and/or conferences as program representative;
  • Confer regularly with representatives of off-campus organizations and agencies regarding the interpretation and implementation of program and institutional policies;
  • Use word processing, graphics, statistical, spreadsheet and database software;
  • If requested, review and create monthly enrollment reports of student status to program coordinators and directors;
  • Establish and maintain complex electronic or manual file system or data; utilize Goldmine® software to track students and other communications; monitor record retention dates for accreditation of individual programs;
  • Set up and maintain surveys; may assist in studies, surveys and preparation of reports; review reports for clarity and accuracy; refer questionable data or narrative to supervisor for clarification;
  • May make public presentations related to program specialty and participate in program outreach activities; and
  • Perform other duties as assigned.
Required Qualifications
  • High School Diploma or equivalent;
  • Two (2) years of relevant clerical work experience; and
  • Intermediate proficiency in Microsoft Office and Excel.

TERMS OF EMPLOYMENT:

This position is a 50% of full-time, overtime eligible, represented, classified staff position. The typical work hours for this position are Monday through Thursday from 8:00 a.m. to 1:00 p.m.; however, may include occasional evening hours and must be available to work a flexible schedule when prior notice is given by the College.

PHYSICAL DEMANDS:

While performing the duties of this position, the employee is frequently required to sit, stand, bend, kneel, stoop, communicate, reach and manipulate objects. The position requires mobility including having the ability to move materials on a regular basis such as files, books, office equipment, etc. Manual dexterity and coordination are required to operate equipment such as computer keyboard, calculator, and standard office equipment.

WORKING CONDITIONS:

Usual office working conditions. Work may include on and off-campus locations. The noise level in the work area is typical of most office environments with telephones, personal interruptions, and background noises.
