Department Summary

The Advancement Operations department provides the backbone of University Advancement's operation. In addition to the overall finance, administration and operations function, the Advancement Operations team also oversees donor stewardship; database management; reporting; gift and biographical records management; prospect research; and gift processing and accounting in accordance with the Internal Revenue Service (IRS) and the Council for the Advancement and Support of Education (CASE).

Job Summary

Under the direction of Director of Gift and Data Services, the Advancement Services Assistant provides support to prospect research, database maintenance and integrity, and gift processing areas.

Responsibilities include, but is not limited to:

Prospect Research
  • Assist Prospect Research Specialist by gathering and compiling relevant data on donors and prospects utilizing internal and external sources, including free and subscription-based tools such as search engines, Advancement database, iWave, LexisNexis, LiveAlumni, and LinkedIn.
  • Prepare biographical summaries on donors, guests and other persons and organizations in support of University Advancement and related events and other purposes such as awards, ensuring new or updated information is added to Advancement database as appropriate.
  • Update and maintain timely and accurate prospect tracking and proposal information in the Advancement database (Ellucian's Advance Web).
  • Assist PR Specialist and Director of Gift & Data Services with projects related to prospect management.
  • Maintain confidentiality and follow all policies, procedures and standards.

  • Database Maintenance and Integrity
  • Accurately update alumni, parent, friend and potential donor biographical and activity information in support of overall Advancement initiatives.
  • Assist in validating data appends and information intended to be uploaded into Advancement database.

  • Gift Processing
  • Serve as back-up gift processor and assist gift processing coordinator with dual control tasks and biographical data updates.
  • Perform other back-up clerical duties in the support of gift processing and data services as needed.


  • Employment Status: Full-time, Temporary, Non-exempt position.

    Application Review Deadline: This position will remain open until filled. The initial review of applications will begin on May 27, 2022.

    Work Schedule
    • Monday through Friday from 8:00 am to 5:00 pm, weekends and evenings may be required.

    Key Qualifications
  • Experience to be proficient in performing most or all work assignments.
  • General working knowledge of applicable university infrastructure, policies, and procedures.
  • Thorough knowledge of office methods, procedures, and practices.
  • Fluency in using standard office software packages Microsoft Office product suite (Word, Outlook, Excel)
  • Thorough knowledge of English grammar, punctuation, and spelling.
  • Ability to learn, interpret independently, and apply a variety of complex policies and procedures. Able to identify deviations from applicable policies.
  • Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions.
  • Ability to perform standard arithmetic functions of a transactional nature, including tracking and comparing data.
  • Work often involves front line contacts with a variety of campus and community individuals requiring active problem solving and effective interpersonal skills.
  • Demonstrated competence in effectively presenting standard information in writing.
  • Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions.
  • Ability to use standard office equipment.
  • Ability to use and quickly learn new office support technology systems and software packages.
  • Familiarity with utilizing the internet to research and obtain information supporting assigned projects.

  • Education and Experience
    • High School diploma or its equivalent AND two years of experience in general office clerical or secretarial work or the equivalent.

    Preferred Qualifications
    • Bachelor's degree preferred.
    • Experience using interactive database systems.
    • Experience working in a higher education institution or non-profit fundraising organization.

    Salary

    Anticipated Hiring Range: $3,200 - $3,600 per month

    Classification Salary Range: $3,120 - $4,592 per month
