Job Summary

This position provides executive level assistance and administrative support to the Chair of the department. Arrange, prioritize and maintain calendars, schedule meetings and events, and secure travel arrangements. The position performs advanced, diversified and confidential duties requiring broad and comprehensive experience, competencies and knowledge of department/organization policies and practices while exercising discretion in handling confidential, sensitive and timely information. Responsible for arranging faculty recruitment, reappointment, and promotion processes and assist the chair with annual evaluations. Performs a variety of administrative duties with latitude for exercising discretion, judgment and confidentiality. The Executive Assistant II will manage high level strategic priorities and initiatives and must possess fine attention to details, a high energy level, strong communication and people skills, positive attitude, as well as the ability to multi-task effectively in a fast-paced environment and to easily adapt to the dynamic nature of an agile organization. A minimum of 5 years office experience as Administrative Assistant or currently in an Executive Assistant role or equivalent. The ideal candidate will take pride in the quality of their work and implement a collegial and supportive environment.

Essential Functions
  • Act as executive liaison for the Chair among the Dean's, other department heads, departmental faculty and support staff personnel, as well as campus administration
  • Coordinate faculty performance evaluations and promotions and recruitment of new faculty
  • Schedule meetings and functions for the Chair. Provide necessary assistance with pre-meeting communication and handouts. Take minutes at meetings and ensure timely follow through on action items
  • Manage high volume of telephone/email activity for the Chair
  • Coordinate Chair's calendar
  • Make travel arrangements
  • Compose or edit correspondence
  • Assist Chair with special projects, reports, events and communications
  • Handle other tasks/duties specifically requested by Chair
Required Qualifications
  • Bachelor’s Degree in Health Services Administration/Research
  • 5 years of Experience
  • Strong emphasis on confidentiality Detail oriented, strong organizational and computer skills and the ability to multi-task
  • The ability to work without supervision
  • Excellent oral, written communication, and interpersonal skills
  • Able to handle sensitive issues with Chair and faculty members and departments that interface with Pharmacology & Physiology
Preferred Qualifications
  • Knowledge of Microsoft Office; Adobe Acrobat; and other administrative software preferred
