ITS Operations Manager

Location

Our West Campus is located at 2400 Gillionville Road, Albany, GA 31707. Our East Campus is located at 504 College Drive, Albany, GA 31705. The Human Resources office for both campuses is located on the West Campus in Building K, Suite 111.

Job Summary

This position reports to the Chief Information Officer. The ITS Operations Manager manages and leads ITS Inventory staff, ITS Technology Trainer and the Division Administrative Assistant. This positions oversees the day-to-day administrative operations of the division including working closely with Purchasing, ITS Inventory, Title III and Accounts payable to oversee ITS purchases, asset management and warranties. This position assist the CIO with budget administration, report preparation and coordinating division-wide meetings and events. This position serves as the division's coordinator of Title III grants. In addition to coordinating the division's external communications this position will be the primary contact for maintaining the division's website.

Responsibilities
  • Manages office and all administrative functions of the Office of the Chief Information Officer.
  • Manages Division P-Card for credit card purchases .
  • Manages accounts, originates tracks and records purchase orders (including all equipment purchases, requisitions, RFPs, maintenance and warranty agreements).
  • Works closely with the University Purchasing department to enter approved purchase requests and initiate purchase orders.
  • Works closely with the University Accounts Payable department and internal IT departments to ensure purchased items are received, services have been performed and timely payments for goods and services are completed.
  • Assist CIO with developing and maintaining ITS budgets
  • Assist with USG required reporting and data collections. (monthly, quarterly and yearly)
  • Supervises, assigns, and manages workflow of administrative staff and student assistants .
  • Reviews and resolves moderate to complex administrative related questions and issues .
  • Manages inventory control staff and student assistants receiving, deploying and surplussing ITS and Title III purchased technology equipment.
  • Works closely with institution's facilities, operations and other department personnel regarding matters pertaining to ITS.
  • Ensures that the quality of all data on campus is reliable and available, yet remains confidential, effective and efficient while maintaining integrity for Federal, State, and Local regulatory requirements and compliance.
  • Performs other miscellaneous duties and responsibilities appropriate to position .
Required Qualifications

Bachelor degree in technology or business related field or equivalent combination of degree and professional experience required

Skill in use of advanced office and financial related computer applications is required

Must qualify for University credit card within 6 months of hire

Preferred Qualifications

Six to eight years of job related experience preferred .

Proposed Salary

Salary range is from $50,000 to $55,000

Knowledge, Skills, & Abilities
  • Experience working in a team-oriented, collaborative environment.
  • Must have the ability to think critically with the capability to identify problems, using flexibility and adaptability while showing initiative and resourcefulness to deal with change.
  • Advanced skills in general office administration including: budget administration, unit level procurement processing, document production and management, records management, event management, problem solving and office organization.
  • Strong experience with Microsoft Office Suite, as well as familiarity with procurement and accounts payable practices.
  • Ability to multi-task in a fast-paced academic environment is essential.
  • Direct, hands-on experience with automated software management tools .
  • Excellent written and oral communication skills .
  • Excellent listening and interpersonal skills .
  • Strong customer-service orientation .
  • Keen attention to detail. Ability to effectively prioritize and execute tasks in a high- pressure environment.
