Job Summary

The Assistant Director for Housing Operations (ADI-IO) is responsible for oversight of all maintenance operations for approximately 2,400-bed spaces across 11 residence halls. This position will ensure all residential facilities are ready for Fall, Spring and Summer "turn". Monitor daily submissions of Entrada Work Orders submitted by residents. Assist with updating Housing Web page via critical information for important dates and deadlines. ADHO, will work closely with Housing 3rd Party Vendor: CGL/BHOM to complete work orders while addressing daily updates and within all residential halls. Responsible for implementing best practices that result in operational efficiencies, strong customer service, and proper care, stewardship, and the appearance of housing facilities.

This position will require non-traditional work hours to include but not limited to evenings, weekends, and university breaks. The ADHO is also required to serve as part of the departmental on-call rotation to respond to and support hall management staff through emergencies and urgent matters on east and west campuses. The ADHO reports to the Director of Housing, Residence Life and Community Engagement.

Responsibilities
  • Manage early arrivals/openings, returning student check-in, break housing processes, and campus closings
  • Coordinates the logistics for all semesters' check-ins and check-outs
  • Manage/update the Housing and Residence Life website
  • Collaborates with University Marketing and Communications, senior leadership, and Residence Life staff to develop and implement summer housing marketing strategies, including print and social media marketing, and summer housing recruitment fairs
  • Collaborates with academic departments, Facilities Management, Card Services, IT, Albany State University Police Department (ASUPD), Dining Services, to forecast housing needs, facilities and service viability, and access for housing participants
  • Serves on-call duty rotation and responds to emergencies
  • Interact with students and parents/families regarding residential concerns
  • Primary department liaison to 3rd Patty vendor CGL/BHOM and ASU Facilities Management regarding ongoing operations concerning maintenance, custodial, safety, and furniture issues/needs
  • Continuously monitors maintenance work order flow(s) to ensure timely and adequate response
  • Supervises work in progress and inspects completed assignments to ensure that satisfactory progress, work quality, operating procedures, and safety are being maintained
  • Performs other duties assigned by the Director of Housing, Residence Life and Community Engagement
  • Monitors cleanliness levels in all residence halls for compliance with minimum APPA Level 2; Engages in corrective planning to address hall deficiencies
  • Maintains strong awareness of and monitors third patty responsibilities for all residential halls to include laundry, HV AC services, plumping, lighting, flooring, electric, etc.
  • Ensures adequate written controls for master keys and master key cards are in place.
  • Responsible for overseeing all key inventory in all residential halls
  • Assist with ensuring compliance with all life safety building codes; fire safety systems are tested annually and responds promptly to fire suppression system communication errors or equipment malfunctions
  • Assist with creating and executing a life cycle replacement plan for furniture, fixtures, and equipment
  • Ensure that residents are vetted prior to Moving-In and Checking-Out(student leaders, nursing majors, military science members, athletes, student teachers, resident assistants, desk workers etc.,)
  • Assist with executing preventative maintenance plans and ensures that all units are turned adequately
  • Assist with submitting a bi-annual report on the status of all residential halls
  • Manage early arrivals/openings, returning student check-in, break housing processes, and campus closings
Required Qualifications

Bachelor's degree

A minimum of five (5) years' experience at senior leadership housing level or has supervised in an Area Coordinator capacity for multiple residential halls for a minimum of 5 years' experience.
Five (5) years of progressive experience in higher education, business administration, educational leadership, counseling, or a closely related field.
Experience working in housing operations, including but not limited to, occupancy management, contracts, assignments, enrollment initiatives, housing policies, opening/closing of Residential building pre and post turn.
Experience utilizing a housing management system (StarRez) .
Experience building collaborative partnerships with faculty, administrators, students, parents/families, and community partners.
Experience with update vital information on webpages applications and/or various wireless platforms .

Preferred Qualifications

Ability to navigate Banner and StarRez.
Involved regionally or nationally in professional associations within higher education.
Understanding of emerging issues in higher education, particularly in student services and housing.
