Job Description:
  • Assistant to the personnel coordinator for the University of Florida Police Department – Department liaison assistant for personnel matters with University Division of Human Resources. Assist to coordinate the department’s recruitment/selection process for all positions within the department (sworn and non-sworn). Assist to coordinate the posting with Human Resources of any vacant position; assist to prepare any necessary job advertisement; assist to review all applicants in the applicant pool to determine qualifications; and assist to schedule for interview all appropriate and qualified applicants. Assist to serve as a member of the interview committee; assist to coordinate pre-employment background investigations with the background investigator; assist to schedule pre-employment physicals with the medical facility; assist to coordinate and/or assist to complete all necessary paperwork/data entry with appropriate departments upon final selection of applicant; assist to process the letter of notification to all interviewed applicants; assist to maintain all necessary records/files of employment processes. Assist to provide information to department members as needed and/or as requested. This position is designated as an Essential Employee. Essential employees provide vital support to the University of Florida and are subject to recall to work when deemed necessary by the Chief of Police/designee. Recall to work typically happens due to an emergency, disaster or special event that may coincide with the official suspension of classes and/or closing of offices.
  • Assist to maintain all Employee data in several computerized systems, to include – tracking of employee actions, performance appraisals, photographs, assigned supervisors, emergency contact information, position numbers, titles and roles of them of employees.
  • Assist to coordinate and process pre-employment paperwork/data for all sworn personnel with Florida Department of Law Enforcement (FDLE).
  • Assist to coordinate and maintain the process associated with the routing of personnel performance appraisals and contracts for all exempt and non-exempt employees.
  • Assist with the budgeting process; annual reports, correspondence and documentation gathering for accreditation files.
  • Gather data, prepare reports and analysis for projects assigned by the Director, Associate Director, or Assistant Director; prepare confidential reports and correspondence for same as needed and/or directed.
  • Other related duties.
  • Assist in timekeeping operations and payroll in the absence of responsible personnel as needed.
  • This position is designated as an Essential Employee. Essential employees provide vital support to the UF and are subject to recall to work when deemed necessary by the Chief of Police/designee. Recall to work typically happens due to an emergency, disaster, or special event that may coincide with the official suspension of classes and/or closing of offices. Employees are subject to mandatory overtime and continuation of a regular tour of duty. Employees assigned to specialty assignments are subject to on-call status and flexible schedules. Employees are required to be in the work environment.
Advertised Salary:

Starting salary $17.50 per hour

Minimum Requirements:

High school diploma or equivalent and one year of relevant experience.

Preferred Qualifications:

An Associate’s degree or 3 or more years of Administrative Assistant and/or Human Resource experience.

Preferred Qualifications:

Knowledge of office procedures and practices; knowledge of the principles and techniques of effective verbal and written communications; knowledge of the methods of data collection; knowledge of basic arithmetic; ability to compile and analyze data for administrative decisions; ability to organize and maintain records management systems; ability to understand and apply applicable rules, regulations, policies and procedures; ability to deal with the public in a tactful and courteous manner; ability to perform basic arithmetical calculations; ability to work independently; ability to utilize problem solving techniques; ability to plan, organize and coordinate work assignments; ability to communicate effectively verbally and in writing; ability to establish and maintain effective working relationships with others.
