Job Summary:
The Office Coordinator will provide administrative, technical, and records processing support for the Career Services, International Student Services, and Education Abroad operations by developing, organizing, managing, and streamlining day-to-day activities. Primary functions of this position include scheduling meetings, overseeing the production of marketing materials, ordering supplies, and managing all functions of the departments within the purview of this role. The Office Coordinator must project a professional image through in-person, online, and telephone interaction and should be knowledgeable about all areas of Career Services, International Student Services, and Education Abroad.

Essential Functions:
  • Greet, assist and direct visitors in person, over the phone, and electronically to the appropriate staff member.
  • Coordinate all departmental efforts related to training, marketing, and reporting.
  • Manage appointments, communications, and daily schedules for the staff for Career Services, International Student Services, and Education Abroad.
  • Hire, train, supervise, and evaluate student employees; and coordinate and track progress on their assigned work projects. Also responsible for discipline and termination of student employees, as necessary.
  • Establish operational policies and procedures and make any necessary modifications, based on analysis of operations, demographics, and other research information.
  • Develop and implement year-round marketing strategies for departmental workshops, events, and services.
  • Manage social media and marketing/publicity for Career Services, International Student Services and Education Abroad programming initiatives.
  • Help to organize events for the departments to include coordinating event details, marketing, logistics, and registration activities.
  • Assist students and alumni with initial questions in career planning, including job and graduate search processes, and guide inquiries to appropriate resources.
  • Assist in the management of Handshake, Columbia College’s career management system.
  • Implement and maintain databases to generate reports and presentations that highlight facts, statistics, trends, usage rates, and outcomes related to Career Services, International Student Services, and Education Abroad programs and services.
  • Assist in updating and maintenance of the departmental web pages.
  • Develop and maintain administrative planning calendars for Career Services, International Student Services, and Education Abroad.
  • Coordinate the purchase of items for Career Services, International Student Services, and Education Abroad programming initiatives.
  • Generate written correspondence to send to international students through Cases request system.
  • Develop forms, spreadsheets, PowerPoint slides/presentations, and other documents used in the office.
  • Assist in the development of the annual budget and maintain a budget tracking system.
  • Maintain confidentiality for all student records and information.
  • Maintain an attractive, functional, and professional office environment including maintaining office supplies and ensuring office equipment is functional.
  • Perform job duties in accordance with Columbia College’s vision, mission, and values; the mission of the Division of Student Affairs and the Career Services, International Student Services, and Education Abroad departments.
  • Practice superior customer service.
  • Fulfill additional responsibilities as assigned.
  • Display respect and civility to all constituencies in all communications.
  • Attend work timely and on a regular basis during the established hours of operation; work additional hours as business necessitates.
  • Serve on division and college committees as requested.
  • Attend major college functions, including but not limited to Homecoming, Registration Day, Welcome Week, Education Abroad Fair, International Extravaganza and Coffee Hour, Career Fair, Commencement, and Student Affairs Night of Recognition.
Supervisory Responsibility: Student Employees

Position reports to: Director of Career Services

Required Core Competencies and Professional Experience:
  • Ability to fluently read, write, and understand the English language.
  • Proficiency with the following, but not limited to: active listening; speaking; writing; critical thinking; judgment and decision making; monitoring; reading comprehension; time management; coordination; and management of personnel resources.
  • Proficiency for using a variety of computer and technology-related software and equipment, including Microsoft Office products and database systems.
  • Proficiency in using web-based technologies, including database systems.
  • Ability to work independently and in a team environment, with or without direct supervision.
  • Excellent communication, interpersonal, customer service, and organizational skills.

Required Level of Education: High School Diploma

Preferred Level of Education:Bachelors
