About the Position:
The Contracts and Procurement department provides the campus community with cost efficient and effective handling of acquisitions and contracting needs in accordance with State laws and CSU policies. We are seeking an exceptional individual to join our team as the Property Clerk I. The ideal candidate in this role should have a positive attitude and an active, energetic mind that is characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness.

Provides administrative support and coordination for the Property Control/Asset Management function for the university. Tracks, tags and reports on university assets and property. Maintains the property database(s), updating information as necessary to appropriately record the life cycle of property in accordance with the state of California, CSU, and university policies and requirements. Works collaboratively with Departmental Asset Record Keepers, throughout all levels of the university, in the development and reconciliation of property accounting and recording.

Oversees campus-wide asset management of sensitive equipment. Does on-site verification, tagging of equipment, and will investigate discrepancies to reconcile property records. Assists with the fulfillment of asset reporting requirements. Supports the Asset Management training of university employees regarding responsibility and liability for equipment, and established processes to follow. Maintains a current working knowledge of property guidelines, policies and procedures.

As a member of the Contracts and Procurement Team, the Property Clerk I supports efforts in promoting an inclusive environment of teamwork and will contribute towards ensuring diversity, equity, and inclusion are incorporated in department operations, programs, and services. The Property Clerk I works well in a team environment and understands the balance of sharing duties, taking ownership, and taking the initiative to complete tasks as needed. Represents the Contracts and Procurement team by establishing and maintain good working relationships with individuals and organizations, both internal and external, providing exemplary customer service while working under multiple demands and time constraints. May serve on committees, or be assigned special projects, as necessary. Other duties as assigned.


Essential Qualifications:
Two years of experience inventorying and maintaining control records for a wide variety of property and equipment or expendable storekeeping items. Excellent customer service skills. Excellent interpersonal and organizational skills. Ability to handle multiple work unit priorities and projects. Ability to draft and compose correspondence and standard reports. Ability to communicate effectively in English, both verbally and in writing, with a wide variety of people. Ability to handle sensitive situations and work effectively with people at all levels of the organization. Ability to use a computer to complete work tasks. Knowledge of Access, Word and Excel sufficient to work with and maintain a large database and complete related work assignments. Ability to complete detailed assignments within established deadlines. Working knowledge of the internet. Ability to lead and oversee the work of others.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.


Preferred Qualifications:
Expert knowledge of Excel and Word and good working knowledge of HTML mark-up language. Experience with PeopleSoft systems related to Asset Management and Procurement. Certification through National Property Management Association. Previous experience at a college/university of similar size and complexity.
