POSITION DETAILS

The Administrative Specialist will report to the Dean of Humanities and Arts and work with the Chairs of the History and Philosophy departments. In addition to the CUNY title overview duties, tasks include but are not limited to

• Manage departmental communications including phone, email, social media, websites, catalogs, and other university systems

• Communicate promptly and accurately with faculty and students online and in person, and maintain contact information for faculty and students affiliated with the departments

• Maintain departmental records and files, both on paper and digitally as may be required, including personnel records, course syllabi, and university forms as needed

• Prepare documents, spreadsheets and multimedia presentations

•Attend other trainings offered by offices such as HR, facilities, IT, ID services and Student Affairs

• Work with campus facilities department about office and classroom upkeep, other departments as needed

• Organize recruitment-related travel arrangements and maintaining applications

QUALIFICATIONS

Bachelor's Degree and four years' relevant experience required.

Preferred Qualifications:

The candidate will be intelligent and resourceful, of good character, with a strong work ethic. Excellent interpersonal skills, computer skills, and oral and written communication skills are essential. Experience in handing confidential matters and materials and working with a diverse faculty, staff, and student body in a college or university setting. Maintain competence in Word, Excel, Adobe, other software as needed. Working knowledge of social media and online meeting tools preferred.

Candidates will be required to provide proof of being fully vaccinated against COVID-19 upon commencing employment. Exemption (medical or religious) requests to this requirement will be considered in accordance with applicable law. Being fully vaccinated is defined for this purpose as being at least two weeks past their final dose of an authorized COVID-19 vaccine regimen. Final candidates must be fully vaccinated as of their first day of employment.

Until further notice, this is a hybrid position, eligible to work remotely and work in the office.

Provides administrative and program support to an administrative or academic department.

  • Oversees department operations and assists management in planning department activities, creating schedules, assigning staff and preparing and delivering department communications. Works with appropriate offices related to personnel recruitment, expediting search activities Research coordinates and organizes materials for key events such as promotion and tenure reviews. Supervises and trains support staff and student workers. Manages budget and coordinates purchasing, accounting, and payroll. Provides instructions and basic advice to students, faculty, and others seeking information on department activities, policies, and schedules. Performs related duties as assigned.
