Admissions Operations & Communications Coordinator
Reports to: Director of Admissions Operations and Marketing
Time base: Full-time, 11-month, exempt position with benefits
Salary Range: Commensurate with experience. $57,200 starting salary.

Overview of Admissions Operations & Communications Coordinator Role:
• Coordinating campus visits and admissions events (virtual, and in-person/overnight);
• Providing operational support to the Admissions Office by overseeing front desk operations, and entry, processing, and management of applicant data/documents/mailings;
• Assisting Admissions communication efforts including email, print, and text messages, and serving as the first point of contact for all web inquiries
• Recruiting and overseeing the Student Ambassador program
Responsibilities:
• Coordinate the planning and execution of admissions tours (in-person and virtual; individual and groups) and events (in-person, overnight, and virtual)
• Work with Admissions staff and collaborate with other departments to successfully meet the requests of students visiting campus and/or attending a virtual event
• Continuous evaluation of program needs. Make enhancements as needed to ensure a relevant and unique experience for all visitors to campus
• Facilitate the Student Ambassador program
• Develop, oversee, and evaluate Admissions front desk coverage and operations procedures including but not limited to: hire, train, and mentor student ambassadors; opening/closing the office; ensuring a continuity of service at the front desk; greeting visitors; engaging with various populations via e-mail, phone, and in-person; serving as the first point of contact for all web inquiries; and processing daily office mail
• Oversee/maintain the accuracy and integrity of the admissions database; record campus visits, communications, and prospective student information/documents in the admissions CRM
• Ensure the integrity and confidentiality of records by maintaining strict compliance with FERPA and other federal regulations and college policies
• Manage the Office of Admissions’ office supplies including, ordering, inventory control, and disbursements
• Under the direction of and in collaboration with the Director of Admissions Operations and Marketing, develop messaging and write copy for admissions e-mail communications and text messages
• Under the direction of and in collaboration with the Director of Admissions Operations and Marketing, develop, update, and maintain the messaging and content on the undergraduate admissions pages of Menlo’s website. Regularly check each page of prospective undergraduate student-oriented content to make sure links are active and that content is updated and accurate
• Monitor and engage with external “college search” websites for prospective students and with paid vendors to update and maintain Menlo’s profile on their sites
• Provide service excellence through courteous, informed, accessible and professional engagement
• Other duties and projects as assigned
Required Qualifications:
• Bachelor’s degree from an accredited college/university or equivalent of 2-3 years of progressively responsible experience performing a range of work in a comparable environment or an equivalent combination of education and experience.
• Demonstrated ability to work in a fast-paced environment with accuracy
• Demonstrated strong listening, written, and oral communication skills in a team-oriented environment; including the ability to speak and write effectively and to analyze, edit, review and interpret complex materials
• Strong service orientation with exceptional customer service skills to communicate effectively with diverse populations within the campus community and the public in a multi-faceted environment
• Leadership skills to provide guidance to other non-exempt employees
• Applies research, analytical and problem-solving skills to identify problems, gather necessary information and implement appropriate actions for resolution. Escalates more difficult cases to the supervisor
• Availability to work some nights and weekends, as needed
• Ability to use high-level discretion and maintain a high level of confidentiality
• Proficiency using MS Office Suite. Working knowledge of and experience using on-line systems and applications. Knowledge of Salesforce, strongly preferred
