Reporting to the Director for Research, the Bloomberg Distinguished Professor (BDP) Central Administration Team (BCAT) Manager will join the BDP team within the Office of the Vice Provost for Research. They will focus on overseeing the comprehensive administrative support provided to all BDPs (current and future) and manage a team of Coordinators and a Communications Manager. In addition, they will facilitate the onboarding processes for these incoming researchers – largely recruited through a new clusters mechanism - by coordinating with staff in their appointed divisions.

Given the very public nature of the BDP program and its importance to University leadership, the success of this position requires a motivated professional with significant expertise in administrative functions.

Specific Duties & Responsibilities

Administrative

  • Assist the BDPs and their department staff by providing superior onboarding coordination and high-level administrative support.
  • Orient all new staff hires, ensuring all forms are properly filled out and submitted, and that new hires contact all necessary offices (e.g., Human Resources, Registrar, Parking, ID, security access, etc.) and complete all mandatory training.
  • Evaluate the success of the team by collecting data and reporting findings to the Director for Research.
  • Review and approve travel arrangements for visiting BDP candidates; provide guidance on scheduling BDP recruitment meetings and events.
  • Hold office hours for all BDPs and cluster members to share any concerns or ask general questions to ensure their needs are always being met.
  • Hire, train and supervise at least 10 Coordinators. Keep up to date on their workloads and hire additional Coordinators as needed as resources allow.
  • Convene weekly BCAT meetings to discuss updates on BDPs and cluster members.
  • Interpret JHU policies and develop standard operating procedures to ensure smooth operation of BCAT and BDP transitions to Hopkins.
  • Troubleshoot complex, multi-divisional administrative issues.

Financial

  • Train coordinators on how to prepare all electronic and paper forms such as journal vouchers, check deposits, telephone service requests, electronic budgets and expenditure transfers. Review and approve all transactions.
  • Track and reconcile BDP collaboration fund budgets and the BDP recruitment budget.
  • Track and reconcile BDP communications budget.

Communications

  • Supervise the Communications Manager: oversee the development and implementation of their strategic plan to ensure it engages with the BDP community and meets specific goals that present the accomplishments and impact of the BDP faculty and program.
  • Communicate BDP-related accomplishments, endeavors, and relevant updates to the Communications Manager.
  • Review quarterly BDP reports for Bloomberg Philanthropies.
  • Oversee management of all BDP-related websites and social media.

Minimum Qualifications:

  • Bachelor's degree in business, finance, accounting, or another related field.
  • Five (5) years of progressively responsible professional-level administrative or financial experience related to monetary or non-monetary resources of a department, center or unit.

Master's Degree in a related field may substitute for required experience and additional experience may substitute for education, to the extent permitted by the JHU equivalency formula.*

Preferred Qualifications:

Master’s degree in business, management, or another related-field.

  • Five (5) years of progressively responsible professional-level administrative and financial experience related to monetary or non-monetary resources of a department, center, or unit.
  • Supervisory experience strongly preferred.

Special Skills/Knowledge:

  • Proficiency with Microsoft Office.
  • Proven ability to communicate effectively.
  • Articulate, professional, and able to communicate in a clear, positive manner.
  • Ability to supervise, lead, and train staff.
  • Knowledge of communications-related functions.
  • Knowledge of accounting and budgeting theory and practices.
  • Proficiency with databases/spreadsheets, & JHU financial systems (SAP highly preferred).
  • Ability to make independent judgments and to act on decisions on a daily basis.
  • Ability to prioritize own work and work of staff as needed.
  • Ability to work with flexibility on several tasks simultaneously and to meet various concurrent deadlines.
  • Excellent organizational skills, ability to work in a complex fast-paced and high-profile environment with short deadlines, competing priorities and intense pressure to perform.
  • Very strong analytical and problem-solving abilities, and attention to detail.
  • Strong interpersonal and communication skills, both oral and written.
  • Experience in working both independently and as part of a team, exercising a high degree of initiative.
  • Experience in successfully working effectively and cooperatively with an ethnically and culturally diverse population.
