Position Summary:
Pacific Northwest College of Art at Willamette University seeks an Illustration Department Coordinator to assist the department and Chair in efficient running of the department.

JOB DESCRIPTION
  • Assist the department chair with aspects of course scheduling including maintaining a room use overview and resolving scheduling conflicts
  • Oversee supervision of the dept. production lab.
  • Provide advising support to students under the direction of Chair
  • Scheduling department meetings and keep documentation of meetings for review
  • Assist department chair in recruiting new faculty by proofing job descriptions, researching job boards, organizing search materials and facilitating interview processes
  • Support student and program efforts to enter competitions and awards programs
  • Assist Chair with the collection and archive of artifacts to support program review and marketing
  • Assist Chair with the collection and archive of expenses for monthly budgetary review
  • Maintain files and records (electronic and hard copy) in an organized, consistent and confidential manner, using university procedures for protecting and maintaining the privacy of records, and following relevant documents retention schedules.
  • Demonstrate a commitment to diversity, equity, inclusion, and student success, and high level of interpersonal and intercultural literacy.
  • Assist Chair with scheduling and organizing portfolio reviews
  • Facilitate technical and guest workshops for adjunct faculty
  • Provide one-on-one guidance for students regarding technical and professional skills in print production, book binding, and thesis preparation in the production lab and publication lab
  • Interdepartmental collaborate for promotion/support of relevant events and opportunities
  • Compile professional and education resources to support student development
  • Collaborate with faculty on documentation of in-class projects and promotion of student work
  • Maintain active and effective Social Media for the department, as well as collect student work for print and display on campus
  • Promote and provide support for bi-annual Design Lecture Series
  • Attend, present, promote events that benefit students including conferences, exhibitions, screenings, art shows and scholarships in coordination with the Admissions Office
  • May assist in organizing visiting artists, designers, speakers and field trips
  • Engage as needed with student groups and collectives related to illustration and graphic design
  • Work with Alumni Affairs to connect students with alumni, promote alumni achievements
  • Connect and coordinate with internal and external gallery spaces for annual juried student shows
  • Other duties as assigned


MINIMUM QUALIFICATIONS
  • Excellent organizational skills and strong attention to detail.
  • Effective oral and written communication skills.
  • Excellent record keeping, proofreading, and writing skills as well as a high degree of accuracy.
  • Excellent interpersonal/people skills with ability to interact with diversity of people both in and out of University, and at different levels of the organization.
  • Patience, integrity, and the ability to exercise good judgment and diplomacy and to maintain a high level of confidentiality.
  • A demonstrated commitment to diversity, equity, inclusion, and student success, as well as working with broadly diverse communities.
  • Ability to work collaboratively with students, faculty and staff
  • Understanding and ability to organize, manage, and populate social media accounts
  • Computer literacy with Microsoft suite, Adobe suite and technical skills related to Illustration and/or graphic design
  • Ability to reside in Oregon by the first day of employment or otherwise perform work primarily in Oregon


Preferred Qualifications
  • Bachelor's degree (B.F.A.) or equivalent preferred
  • Candidates with a background in illustration and/or graphic design will be given preference
  • Ideal candidates will have at least 2 years of administrative work in higher education
