Position Purpose

The Producing Operations Coordinator manages the operations and logistics of Hop Ensembles and Student Workshops under the direction of the Managing Director/Executive Producer including choral, instrumental and dance ensembles as well as craft studios in wood, metal and clay. Provides administrative support to the Managing Director/Executive Producer and departmental programs and initiatives.

Required Qualifications - Skills, Knowledge and Abilities

- Ability to act with discretion and handle sensitive, confidential information.
- Attention to detail; handle many projects simultaneously; and demonstrate good judgment and maturity in decision-making.
- Experience with database, scheduling and information systems
- Competence with office equipment and technology, including Internet, email, and Microsoft Office (Word, Excel, Outlook).
- Excellent verbal and written skills; ability to be a team player and a team leader; motivate others and contribute.
- Must have the ability to work collaboratively across the organization.
- Problem-solver with strong initiative to get the job done.
- Work nights and weekends on occasion to fulfill the responsibilities of the position.
- Must be collaborative, goal-oriented and self-motivated with an ability to work independently.

Preferred Qualifications

- Musical performance and/or program administration experience.
- Craft program administration experience.
- Familiarity with performance technical equipment.
- Experience with EMS, Airtable or other scheduling and collaborative software.
- Ensemble or other group leadership experience.

Key Accountabilities

Description

Program Administration
In support of Hopkins Center Ensembles and Workshops, this role coordinates all logistics for the successful functioning of rehearsals, performances, tours, guest artists/lectures, and other outreach and social activities for the Hop’s music and dance ensembles, woodshop, jewelry and ceramics studios. The coordinator maintains online and physical library of musical scores, digital archives, performance materials and musical instruments, as well as coordinates access and distribution. Further, the Producing Operations Coordinator liaises with all Hop departments in areas such as scheduling spaces, maintaining details through a specialized cloud-based Hop platform and collaborates with Development and Marketing & Communications, ensuring all elements of a project are accurate through completion. This role works to foster strong relationships with key constituents such as the Department of Music and other academic departments. In conjunction with ensemble and workshop directors, this role coordinates a robust student workforce in areas of recruitment, hiring and timekeeping. Guest artists are a key component to these creative departments and the Producing Operations Coordinator works closely with the Associate Producer to prepare agreements and is at times a point of contact for individuals outside of the organization.

Budget Administration
In support of departmental activities above, and in conjunction with the Hopkins Center Business Office, the Producing Operations Coordinator monitors financial transactions and is responsible for timely clearing of credit card expenses, payment requests and related details as well as payroll approval and receipt management ensuring incomes and expenditures are properly recorded and processed. This role maintains an understanding of Dartmouth College purchasing policies and makes purchases as properly approved.

Description

Managing Director/Executive Producer Administration
As a result of the close working relationship with the Managing Director/Executive Producer, the Producing Operations Coordinator serves as a liaison with a diverse population including Dartmouth faculty, Senior Administration, College staff, Hopkins Center staff, Dartmouth students, alumni and student organizations, often in matters involving confidential information. As such, this role may assist with organizing meetings, preparing or coordinating agendas, presentations, attendees and scheduling. They may record, transcribe or distribute meeting notes as well as provide or arrange for technical support. Monitors, interprets and participates in planning of the annual budgets for activities under the Managing Director/Executive Producer’s portfolio and may assist in preparing recurring and special reports.
