Department Summary
The Finance and Administration Shared Services Department (FASS) is located within the Finance and Administration portfolio. Finance and Administration is a vibrant and varied portfolio serving all aspects of campus life. Finance and Administration employees perform a wide range of functions including offering essential support to the Universities many departments, providing key resources to employees, and keeping campus safe. FASS provides department level administrative services to groups across the University in three areas: Business Operations, Human Resources and Information Technology.

The mission of the Finance and Administration Shared Service team is to provide professional and timely service, offering our expertise in a wide variety of functions. FASS is committed to providing superior customer service and creating partnerships with clients to ensure their needs are fulfilled to the highest standard.

The FASS unit provides administrative services for 20+ departments across several portfolios including:
  • Campus Planning and Facilities Management
  • Safety and Risk Services
  • Campus Services
  • University Human Resources
  • Information Services
  • Purchasing and Contracting Services
  • The Office of General Counsel
  • The Office of the President

    The units supported by FASS constitute multiple large business enterprises consisting of more than 900 employees and a total operating budget in excess of $80 million.
    Position Summary
    The Mail and Warehouse Logistics Assistant in the Purchasing and Logistics unit will provide a variety of important functions within the unit including, but not limited to, pick-up and delivery of mail, parcels, and materials to campus departments, receiving and sorting of mail and materials, stocking warehouse shelves, processing warehouse sales for customers, counting physical inventory, and processing packages and metered mail.

    A portion of this position is similar to that of a US Mail Carrier or UPS or FedEx package delivery agent. When performing this portion, the person operates a variety of vehicles, including trucks, forklifts, vans and hand-trucks and must be able think quickly and deal with unusual situations or conditions. At times, material handled is of a confidential nature and the person must understand this completely. Must be able to obtain a valid University of Oregon motor vehicle driving permit and become certified to operate a forklift. Interactions occur daily with the campus community and external vendors in the course of performing work and responding to issues. This position works as a member of a team while frequently performing tasks independently. Decisions may be made about the best method, personnel and materials necessary to perform a particular task or to maintain required service levels. They may also include setting priorities, assessing customer needs and responding to those needs in a timely and efficient manner while upholding the standards of Finance and Administration Shared Services.

    This position reports to the Purchasing and Logistics Manager. Work is reviewed annually. The purpose of review is to assess performance, discuss professional development, and to provide feedback for performance improvement.

    ESSENTIAL PERSONNEL
    This unit may provide essential services during times of emergencies and inclement weather. This position may be required to fulfill essential services and functions during these times.

    DRIVER'S REQUIREMENT
    It is an essential requirement of this position to qualify for and maintain UO driver's certification eligibility, which includes maintaining an Oregon driver's license throughout employment in this position.
    Minimum Requirements
  • One year experience driving a van or large vehicle in an area of high pedestrian and bicycle density; AND
  • One year experience in a warehouse operation performing receiving work; AND
  • Customer service experience.

    Preferred Qualifications
  • Experience with mail or package sorting, distribution, and/or delivery.
  • Experience or training providing knowledge of inventory systems, transportation agencies and shipping methods.
  • Experience with metering mail and processing FedEx and UPS shipping.
  • Experience operating computerized equipment and diagnosing problems.
  • Experience with all mail classes including standard, non-profit, and periodicals.
  • Experience providing customer service to the public.
  • Experience using Microsoft products, including: Word, Outlook, Excel, and PowerPoint.
