Position Summary:
Reporting to the Director of Admissions Communications, the Communications Coordinator supports the daily communications operational activities of the Office of Admissions. Duties include processing outgoing recruitment and enrollment mailings by maintaining publication inventory and tracking mailing production schedules. In addition, this position provides logistical support for on campus and off campus activities for the recruitment of new students to the university including delivery, set-up, and breakdown of event signage, equipment, and other required materials. This position will also manage and maintain publication inventories used for recruitment, track publication usage and mailing costs, and oversee all outgoing mail processes as well as oversee and monitor data entry of prospective students into the Slate CRM system as needed.
Core Responsibilities:
Recruitment and Enrollment Mailing and Publications Management (35%):
o Coordinates small and large recruitment and enrollment mailing projects, handling both in-house mailings and those involving private-mailing companies. Provides accurate, detailed information to contracted vendors to ensure correct processing procedures. Regularly downloads mailing lists from the Slate CRM and distributes them to the appropriate vendors.
o Requests mailings cost estimates for processing and handling, postage, and monitoring and recording invoicing from the mailing house. Provides an annual detailed report of all mailing activity and associated costs.
o Controls storage and distribution of enrollment materials and publications, ensuring sufficient inventories are maintained for admissions recruitment processes both at the mailing house warehouse and in admissions buildings. Documents the usage of publications to provide input for future needs and associated costs. Notifies appropriate officials when additional publications are needed.
Manages and Coordinates Event Preparation Resources (35%):
o Oversees on and off campus recruitment and enrollment event preparation activities and resources needed for events overseen by the Office of Admissions including signage, staffing assignments, logistical planning, internal audience communications, and supply and delivery of materials. Works with the Office of Admissions events team to monitor events within the CRM system. Assists with setup and breakdown of event venues.
Mail, Inventory, and Event Assistant Team Management (20%):
o Provides supervision and training to a team of student workers and other hourly staff to perform and assign tasks using documented procedures. Works to ensure proper training materials are developed and maintained. Monitors data in CRM for accuracy.
Other duties as assigned (10%):
o Performs other duties as assigned.
Minimum Hiring Standards:
o High School diploma or equivalent required.
o Ability to work productively in highly collaborative environments that maximize autonomy and decision-making.
o Proficiency with Microsoft Office (Word, Excel, Access).
o Ability to communicate effectively with internal and external audiences.
o Excellent written and oral communication and documentation skills.
o Strong organizational skills.
o Ability to lift up to 20 pounds.
o Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU.
Preferred Qualifications:
o Bachelor’s degree in business, communications, humanities, sciences, or related field.
o Proven record of successfully managing projects, working independently and meeting deadlines, preferred.
o Experience with or exposure to CRM programs.
