Job Summary

In line with the California State University (CSU) system Basic Needs Initiative, San José State University (SJSU) has established the SJSU Cares Program assisting students in a variety of situations around food & housing insecurity, and emergency needs. The Basic Needs Coordinator is a position coordinating the Spartan Food Pantry program and assist with other campus basic needs initiatives related to SJSU Cares and Case Management in the Student Services department. Reporting to the Senior Student Affairs Case Manager, the Basic Needs Coordinator is responsible for providing wide-ranging administrative oversight related to program and policy research, development, evaluation, outreach, and operational analysis of the Spartan Food Pantry and basic needs resources. Working independently, under direct supervision, the position is primarily responsible for coordinating a variety of inter-related workflow processes that ensure the efficient implementation of programs related to the Spartan Food Pantry. This includes the oversight of the food pantry program, including: oversight of student assistants, marketing and communicating special events; and programs and services to students. The incumbent will support several food security program initiatives and facilitate relationships to complete tasks, as well as support for developing and implementing a plan for related programming. This will require analyzing the needs of students and how best to provide the necessary resources and implementing associated recommendations.

Key Responsibilities
  • Create and maintains systems to track & analyze program/participant data; provide appropriate reports for assessment needs
  • Maintains processes supporting high level of confidentiality and respect for pantry visitors
  • Responsible for tracking and administration of relevant budget(s)
  • Monitors and maintains food pantry inventory including coordination of food ordering, physical deliveries, and stocking
  • Pick up and transports food from Second Harvest of Silicon Valley and/or other vendors to SJSU
  • Communicates with agencies, staff, volunteers and University constituents regarding food orders and the logistics
  • Assists with fundraising and development for food insecurity/basic needs including coordination of donations, food and product drives
  • Directly assists participants with intake process, item selection, and customer service needs
  • Recruit, train, and oversees student interns, student assistants and volunteers who are responsible for the daily operations of the Spartan Food Pantry and other food security initiatives
  • Coordinates outreach and education efforts including tabling, social media, signage, and facilitation of workshops
  • Maintains and promotes a culturally appropriate pantry atmosphere that supports nutritional wellness
  • Creates and maintains relationships with on and off campus resources for students, and provide workshops for students utilizing these resources. Coordinates collaborations with related programs
  • Serves as the point person for any physical/maintenance needs for the food pantry.
  • Creates and maintains appropriate documentation of procedures such as operational manuals
  • Serve as the campus point of contact with relating to food pantries; engage in continual learning, best practices, as related to the role
  • Implements assigned initiatives related to the SJSU Cares Program, and facilitate relationships to complete related tasks
  • Provides excellent customer service in the physical and digital office settings, at the front counter, over the phone, online video conferencing, and via email
  • Has general working knowledge of other departments; builds and maintains positive relationships
  • Support and partake in additional departmental programs as assigned. Assume additional projects and responsibilities in response to emerging issues
Knowledge, Skills & Abilities
  • Highly knowledgeable of the federal Supplemental Nutrition Assistance Program (SNAP), and it’s California branded, CalFresh program, application process and eligibility requirements, SJSU Cares resources, services, and events, such as the Spartan Food Pantry, Case Management support, CalFresh Day and National Hunger and Homelessness Awareness Week, to communicate with students, faculty, staff and community partners
  • Ability to work with current versions of Microsoft Office & G Suite; email and phone skills.
  • Ability to listen and determine the true intent of a question and provide correct information
  • Ability to patiently explain procedures and or the necessity of seeking assistance from the appropriate source
  • Ability to compose and appropriately format correspondence and reports.
  • Ability to work specifically with college students who have experienced food insecurity and/ or financial hardships or emergencies
  • Skill in developing and managing budgets
  • Knowledge of program assessment, learning outcomes, and strategic planning
  • Knowledge and skills in promoting social justice
  • Ability to research, interpret and take action based on an understanding of complex policies and procedures
  • Demonstrated ability to exercise leadership and work as a team member while maintaining ability to work independently to lead projects to completion
  • Develop and implement detailed projects in a well-organized and efficient manner
  • Take initiative and independently plan, organize, coordinate and perform work in various situations where numerous and diverse demands are presented
  • Ability to analyze and review a wide variety of documents and forms for accuracy and completeness and to process them in a timely and efficient manner
  • Ability to perform standard business math, track financial data, and make simple projections
  • Ability to comprehend and interpret regulations and requirements and apply them in a production process
  • Ability to handle multiple work priorities, organize and plan work and projects
Required Qualifications
  • High school diploma or equivalent or combination of education and experience which provides the required knowledge and abilities
Preferred Qualifications
  • Associates degree in business administration, communication, marketing, nutrition, human services, or a related field. Three (3) years of relevant work experience may be substituted for a degree
  • Two (2) years of work experience in a professional business office or customer service experience.
  • Possession of a valid California Driver's License for the operation of any vehicle or equipment
  • Excellent written and verbal communication skills, as seen on application
  • Experience providing excellent customer service in a high volume, fast paced environment


Compensation

Classification: Health Education Assistant
Anticipated Hiring Range: $4,566/month - $4,705/month
CSU Salary Range: $3,704/month - $7,147/month
