The Health & Well-Being Institute ( https://extension.wisc.edu/health/ ) works to catalyze positive change in Wisconsin residents through evidence-based and community-engaged health promotion programs to improve health, build community capacity to identify and address health inequities, engage in collective action, and achieve greater health equity.

About the position:

The Administrative Assistant will provide clerical and administrative support to the Health & Well-Being Institute Director, Program Managers and State Specialists. Primary duties include coordinating meeting and travel logistics, developing communications materials, graphic design, managing web-based data and records retention, and creating and maintaining organizational systems.

The position functions in a multi-faceted, respectful office with day-to-day variety. This position will work out of the Extension building on the UW Madison campus with potential for partial remote work.

Responsibilities:

Provides general administrative support, while exercising discretion, to the administrator of a department or division of the institution or to the administrator of multiple institution programs, services, and activities.
  • 25% Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
  • 15% Serves as a primary point of contact for individuals and groups, provides organizational information via phone, in person, and through other communication mediums
  • 15% Prepares and audits complex records, edits documents, and reviews work done by others
  • 20% Develops, sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures
  • 25% Develops, implements, and maintains methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures

Qualifications:

Required:
- Strong interpersonal skills, including the ability to establish and maintain positive professional relationships across diverse populations.
- Excellent organizational skills, and the ability to manage and prioritize multiple, concurrent projects in a fast-paced environment.
- Ability to work independently, as well as function effectively in a team and with a diverse group of people.
- Proficient with position-related software (e.g., Microsoft Office, Google suite, Adobe, SharePoint), and ability to quickly learn new platforms.
- Ability to develop and design high-quality, visually appealing graphic materials.

Preferred:
- Experience with event and conference planning.
