Job Summary Job Summary

Concord University, located in Athens, WV, invites applications for the full-time position of Registrar to begin immediately.
The Registrar is responsible for establishing and maintaining policies and procedures to ensure accurate and timely registration of students; maintaining accurate and confidential academic records and personal information; evaluating transfer and international student records, and baccalaureate and graduate degrees. This position reports to the Associate Provost.

Duties and Responsibilities Duty/Responsibility

The Registrar is responsible for:

  • Interpretation and application of academic rules and regulations.
  • Preparation of academic warning, probation, suspension and dismissal reports for Satisfactory Academic Progress Committee.
  • Overseeing staff including the Veteran’s Certifying Official
  • Determining eligibility for honors (undergraduate honors and honors in field/major studies)
  • Certifying attendance, level, grades and/or degree dates of students as required for loans, benefits, scholarships, insurance or various programs through the National Student Clearinghouse.
  • Posting of all grades, including incompletes and grade changes.
  • Preparing and overseeing the Registrar’s budget
  • Hiring and training new staff as well as providing professional development for current staff.
  • Acting as a liaison between the Registrar’s Office and Technology Services to assure adequate communication concerning the analysis, development and evaluation of technology systems for the Registrar’s Office.
  • Overseeing academic registration and post-registration processes.
  • Maintaining and updating the academic records system in accordance with the policies of the University, the West Virginia Higher Education Policy Commission, and the America Association of the Collegiate Registrars and Admissions Officers. Procedures are expected to meet requirements of accrediting agencies.
  • Preparing and publishing of the Academic Catalog in collaboration with the Associate Provost’s Office.
  • Consistent with the Family Education Rights and Privacy Act of 1974 (FERPA), provide academic departments and faculty advisors with student data, including class schedules, grades, academic records, and other resource information.
  • Providing transcript service for students and alumni.
  • Overseeing submission of grades by faculty.

Qualified applicants must have:

  • A bachelor’s degree, but a master’s degree is preferred
  • A minimum of 5+ years of direct experience managing student records, registration, class scheduling, and compliance with federal and state regulations.
  • 3-5 years as a Registrar or Assistant Registrar in an institution of higher education preferred.

Required Skills

Applicants must be able to explain and/or demonstrate the knowledge, skills, and abilities to safely perform the essential functions of the position. These include:

  • Excellent technology skills involved in the management of complex academic record systems, as well as an ability to integrate new technologies into the services provided by the Registrar’s Office.
  • Ability to communicate effectively both orally and in writing with students, parents, faculty, and staff and other professional college constituencies.
  • Understanding of basic data analysis techniques and statistical procedures.
  • Knowledge of higher education and institutional policies as well as ability to learn policies and procedures guiding admissions and the Family Educational Rights and Privacy Act.
  • The applicant who fills this position must be a self-starter, self-directed, detail-oriented individual who has the ability to multi-task.
  • This individual must have strong interpersonal, organizational, phone and writing skills.
  • The preferred candidate should be a self-motivated, team-player who demonstrates initiative and works well with others.
  • Finally, the individual must maintain a high degree of confidentiality while working with sensitive information and be willing to take independent action utilizing defined policies and procedures while adhering to deadlines
