Job Description

The Departments of Political Science and Philosophy and Criminal Justice and Criminology are seeking an engaged staff member to support our departments. This position reports to the Department Chairs. The staff member will work closely and collaboratively with the Department Chair to maintain the effective and efficient operation of all department processes.

Our programs are growth-oriented and focused on providing students the best experience for their educational goals. We offer several degree programs, have several active student groups, and host events throughout the year.

Administrative Support to Department Chair

• Maintain a welcoming, helpful, and responsive environment for students, parents, faculty, staff, and university inquiries
• Manage office operations
• Assist and advise the meeting of deadlines and progression of goals through action plans and

delegation of tasks

• Support for monthly faculty meeting, including monthly planning sessions, through scheduling,

recordkeeping, and report creation

• Maintain department calendar of events and scheduling of conference room
• Maintain department records (digital) and organize for efficient reference – records including student, fiscal, HR/Payroll, facilities, and others
• Assist with the coordination of faculty travel approvals and reimbursements
• Manage purchasing
• Assist in the creation and maintenance of an accurate course schedule
• Maintain department website and email lists including posting of regularly scheduled news and announcements
• Assist in planning and executing department events, which support recruitment and retention

Office Leadership

• Supervise work study students who work in the department’s main office and train and delegate to be able to assist with numerous office tasks
• Coordinate responses to student, parent, faculty, staff, and university inquiries
• Assist with hiring processes every semester
• Manage events for visiting lectures, student programs, alumni reception, and other special

events, from planning through to implementation

General

• Regular phone and e-mail communication with current & prospective students
• Other duties as assigned

Minimum Qualifications

High school diploma or equivalent and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

• Excellent organizational skills
• Excellent verbal and written communication skills
• Detail-oriented
• Proficiency in Microsoft Office (especially Word, Excel, and Outlook)
• Ability to work independently with little guidance
• Excellent interpersonal skills
• Ability to collaborate and coordinate with individuals, departments, and university offices
• Ability to show evidence of flexibility in meeting goals in dynamic environment
• Evidence of proactive approach to solve problems and balance short vs. long-term solutions
• Ability to prioritize tasks
• Bachelor’s degree
• Higher education administrative experience
• Experience with Adobe programs (Acrobat Pro, Illustrator, PhotoShop)
• Familiarity with records software (PeopleSoft)
• Experience with financial reporting and budgets

Full Time/Part Time

Full time, benefit eligible

Salary

$13.37 – $20.00 per hour commensurate with experience, education, and internal equity.

Shift

8 AM - 5 PM, Monday through Friday
