The Missoula College at the University of Montana invites applications for an Administrative Associate III to join our team. This position provides high-level administrative support and manages day to day operations for the Missoula College Health Professions departments. The Administrative Associate operates as the office contact, conducts all administrative functions within the until and provides support to the department chair, faculty, and students. This position reports to both the department chair and the Director of Operations & Finance.

Duties and responsibilities include, but are not limited to:
  • Managing the departmental office, supervising student employees
  • Overseeing and reconciling operating budgets
  • Purchasing activities including maintaining appropriate lab and office supplies, as well as necessary equipment
  • Assisting in development of academic schedules for the department including tracking courses, contact hours, credits, and appropriate course numbers attributed to department faculty' coordinating and managing competitive student application process for respective programs
  • Managing and maintaining the department website
  • Preparing departmental, college, and university correspondence and reports
  • Arranging, taking notes, and maintaining accurate records of all advisory committee and faculty meetings for the department
  • Maintaining centralized document inventory including student records, date reports, program review(s), accreditation materials and reports, and other materials as required
  • Coordinating and assisting with accreditation efforts; and any other duties as assigned
  • Effectively collaboration with all necessary parties including faculty, department chair, Dean's Office, and all related external entities.

  • Ability to effectively communicate in oral and written form
  • Skill in website development and maintenance as well as ability to learn and apply website design and management skills
  • Ability to learn various software including web content and database management skills
  • Ability to provide excellent customer service to diverse groups and individuals
  • Proficient in the use of personal computers and related software (MS Office products) with the ability to learn new software
  • Knowledge of basic accounting & budgetary practices
  • Ability to research, gather, and compile information to analyze and produce reports
Minimum Required Experience
  • High School diploma and two (2) years of progressive work experience or an equivalent combination of education and experience.
Preferred Qualifications
  • Bachelor’s degree
  • Working knowledge of UM Policies and Procedures
  • General understanding of Health Programs licensure requirements and accreditation standards
  • General understanding of Health Programs application processes

Position Details

Position Title: Admin Assoc III

Position Number: 097710

Department: Missoula College

Work Schedule: Full-time, 1.0 FTE (40 Hours a week), Monday through Friday 8:00 am to 5:00 pm, 12 months/year.

Salary: $14.605/hr - Current employee’s rate of pay for this position will be determined by the staff compensation plan and will minimally be this posted salary. For questions and details regarding the staff compensation plan, email the Compensation Department .

Union Affiliation: FOCUS-MFPE

Probationary Period: Six months minimum
