Position Summary:
Coordinates the daily operations of Willamette's Career Offices including appointment scheduling, budget maintenance, social media accounts, web pages, job postings and systems support, supervision of student staff members, and communicates regularly with recruiters. Additionally, provides administrative support to department staff.
Work involves advanced-level administrative duties with diverse stakeholders including students, employers, parents, faculty, staff, alumni, and community members. Incumbent must be able to work independently and as a member of a team. Provides direction and supervision to student workers. Requires strong interpersonal and verbal communication skills, along with sensitivity to tact and confidentiality, to exchange information with individuals both inside and outside the University.

JOB DESCRIPTION
The duties and responsibilities of this position include, but are not limited to, the following functions, which are not listed in any particular order of significance:
- Provides administrative assistance to all department
staff
- Maintains detailed records of purchases, billings,
reimbursements and budget status, assuring proper approvals, coding
and recording
- Coordinates office operations and maintenance and orders office
supplies
- Maintains university-required statistical information and
generates internal department reports
- Coordinates all recruiter (representatives from graduate/
professional schools and employers) campus visits and helps promote
these visits to campus
- Hires, schedules, and supervises student workers, maintaining
relevant personnel and payroll records
- Coordinates the production and maintenance of print, digital,
social media, and departmental materials, including Career Talk,
the Career website, and program announcements and
handouts
- Supports the department in managing various social media
platforms and accounts
- Assists with planning, marketing and coordination of all
department events requiring campus services, facilities, equipment
and catering
- Oversees Handshake and other systems used in the department and
communicates changes in a timely manner
- Serves as department resource for students, faculty, staff,
alumni and off-campus constituents
- Safeguards the confidentiality of departmental or office
administration by exercising discretion in communicating
information to faculty, students and staff, and handling
departmental records and files
- Maintains job posting database Handshake and supports other
department software tools and systems as well
- Performs other functions as assigned
MINIMUM QUALIFICATIONS
- High school education or equivalent required. Associate degree
or Bachelor degree preferred
- Three to five years of general office, clerical/ secretarial
experience required
- Strong oral and written communication skills
- Complex record keeping and organizational skills
- Knowledge of software systems and processes (current programs
used include Google Suite, Canva, Emma, Handshake, Switchboard,
LinkedIn, etc.)
- Keen attention to detail and proofreading skills
- Ability to work independently as well as establish and maintain
harmonious relations with other staff, faculty and
students
Preferred Qualifications
- Experience working in a higher education setting.
Salary: $18.68 per hour
