Summary

The Senior Manager, Financial Aid provides supervision and management for the operations of the Office of Student Financial Aid to ensure compliance with federal, state, and University legal, fiscal and statutory regulations and policies, to successfully meet the financial needs of students in all schools/programs at Baylor College of Medicine. The Senior Manager, Financial Aid is responsible for leading the day-to-day operations within the department, management of its employees, creation, and implementation of financial aid presentations, and developing financial aid strategies that are consistent with the objectives of Baylor College of Medicine. Additionally, the Senior Manager will monitor compliance with the federal work-study program, satisfactory academic progress, accreditation compliance, and federal, institutional, and scholarship expenditures.

Job Duties

Leadership and Planning:
• Provide leadership, supervision, and evaluation to the office staff that assures a student-centered approach to financial aid administration.
• Oversee the day-to-day operations of the financial aid office and ensure staff receive opportunities for training and professional development, including cross-training of staff.
• Lead all facets of the financial aid office including but not limited to policy analysis, student award packaging, compliance, certification, system, and debt management, loan processing, document tracking, scholarships, and file maintenance.
• Work collaboratively with schools/programs to address financial aid needs.
• Manage and provide oversight and reconciliation with regard to awarding institutional scholarship and loan funds.
• Collaborate with Office of Student and Trainee Services Finance to analyze and develop budget and preparation of awards within available funding sources to meet the aggregate need of all potential recipients.
• Provide leadership to promote and maintain integrity, accuracy, and timeliness in the delivery of financial aid to students.
• Evaluate financial data in the context of the annual tuition rate to set the cost of attendance, project demand for future financial aid, and ensure institutional resources to meet student needs.
• Collaborate with the Director, Academic Services to develop an integrated office model with the Office of the Registrar.

Administrative and Regulatory:
• Administer federal, institutional, and scholarship funds.
• Implement financial aid policies and procedures in compliance with federal, state, and institutional regulations and policies for accurate annual allocation reports to federal and state student aid offices.
• Responsibility for federal loan programs; analyze and input changes and corrections to financial aid records utilizing financial aid management programs and student information systems.
• Create and annually review Cost of Attendance budgets that adequately meet the needs of the students and align with federal and university policy.
• Oversee and coordinate the completion of reports and surveys for federal and state agencies and accreditation reports, including annual audits and program review for accreditation requirements.
• Determine institutional methodology for financial aid distribution based on eligibility and the availability of funds in accordance with current federal regulations and institutional policies and office operating procedures.

Collaboration:
• Collaborate across schools/programs and other institutional offices to proactively address issues and new functionality that may impact other offices.
• Share information regarding student issues that arise to ensure early intervention or appropriate escalation.
• Work collaboratively across school/programs to identify scholarship recipients.
• Monitor stewardship of institutional loans, working closely with the Offices of Finance, Institutional Advancement, and Administration.

Minimum Qualifications
  • Bachelor's degree.
  • Five years of relevant experience.
Preferred Qualifications
  • Master's degree.
  • Experience working within a collegiate setting.
  • Knowledge of and experience with financial aid administrative responsibilities.
  • Ability to work well with others.
  • Strong oral and written communication skills.
  • Ability to use information technology for professional productivity (such as Microsoft Office Suite).
