Summary

The Department of Molecular Virology and Microbiology is offering a highly motivated and competent professional the opportunity to serve as a Research Administration Associate in a team-based office setting with primary responsibilities for providing administrative financial support to support the grants and contracts tasks and to support faculty in the Vaccine Research Center.

Provide grant program expertise, financial expertise, and guidance related to sponsored research studies or clinical trials interacting with the faculty and staff in The Vaccine Research Center, a Section within the Department of Molecular Virology and Microbiology.

This position is in a busy, fast paced clinical research environment working with multiple faculty and clinical research staff. The individual will need to be self-motivated and able to multitask effectively. The successful candidate will have exceptional communication skills, both written and verbal, be regarded as a team player, have strong and proven organizational skills, and have a personal initiative to work independently. Experience working with SAP and Microsoft Office tools (e.g. Word, PowerPoint, Excel), is strongly preferred. Previous work experience in an academic medicine environment is a desired.

This position has the potential to work a hybrid remote schedule to be determined.

Job Purpose

Implement pre-award and/or post award activities and programs including, but not limited to, process improvement, compliance, and/or financial reporting and tracking.

Job Duties

Under the direction of the Department Administrator, responsibilities are as follow:

Grants and Contracts (NIH) & Clinical Trials (NIH & Industry):

Work with Investigators on pre-award grant/clinical trial management activities
• Submit and monitor grant and contract applications
• Prepare budgets for proposed studies
• Approve and monitor expenses on all projects
• Prepare monthly financial projections for individual studies and a summary of all costs
• Manage post-award activity (validate expenditures; prepare and reconcile financials by project if required)
• Manage monthly effort - gather, organize, calculate, distribute, discuss/resolve issues, enter, make adjustments to effort and prepare effort reports
• Work with OOR to issue new subcontracts
• Review, audit, and approve subcontract invoices
• Negotiate industry agreements
• Negotiate industry budgets
• Create industry invoices and manage accounts receivables

SAP Accounting / Reporting System Software:

• Approve check requests, journal vouchers, personnel reimbursements and study participant fees
• Provide back-up support by creating these documents when needed
• Enter cost and effort distributions in SAP monthly

SRM Ordering System & Concur Travel System:
• Approve purchase requisitions, travel requests and travel expense reimbursements
• Provide backup support by creating these documents when needed

Minimum Qualifications
  • Bachelor's degree. Certified Research Administrator certification through the Research Administrators Certification Council (RACC) may substitute for the degree requirement.
  • Two years of relevant experience.
Preferred Qualifications
  • Five years of research administration experience
  • Certified Research Administrator Certification (NCURA)
  • Grants/financial related experience
